Use

You use archiving for FI-LC totals records and FI-LC journal entries, to remove mass data, which you no longer require in Consolidation, from the database and yet store them so that they are still easy to evaluate.

The following archiving objects are available in FI-LC, the Consolidation component of Financial Accounting, as of Release 4.5A:

Features

When you call up Archiving Management in the Consolidation application menu, the defaults FI_LC_SUM and/or FI_LC_ITEM automatically appear on the screen, and you do not have to enter the object's name. If you access Archive Management from elsewhere in the system, or you want to access Archive Management for archiving object FLC_OBJECT, you need to explicitly enter the name of the archiving object.

You can use the archiving object FI_LC_ITEM to archive and delete journal entries as needed. For example, if your database contains a large number of journal entries, you can archive these records regularly. If your system has enough storage space, you can archive the journal entries only once per fiscal year.

You also use the archiving objects to reload archived data into your system and evaluate archived data. This should only be done in emergency situations. User-friendly read reports and transactions are available for read accesses of archived data.

Caution

You are not permitted to archive any totals records during a fiscal year because the year is part of the totals record key. If, for example, you were to archive a totals record in May and then make new system postings in June, a new totals record would be created. This would lead to inconsistencies with the totals record that has already been archived.

Further Information

The archiving functions have been revised to Release 4.5A. You can now archive the totals records and the journal entries separately.

As from Release 4.5A , you can only use the archiving object FLC_OBJECT for reloading or reading. You can no longer use this object for archiving or deleting. When you want to read or reload archived data by means of FLC_OBJECT, you can of course also use the new archiving objects FI_LC_SUM or FI_LC_ITEM.
