Use

You assign a record to a file plan position if you want to classify the record in a higher level registry. In addition to records, you can also assign other elements to file plan positions.

Note If you want to be able to search for elements using the file plan position, enter the number of the file plan position as a value for the attribute File Plan Position (for more information, see Assigning Attribute Values).

Prerequisites

You have navigated from the Records Organizer to the Records Planner (see Navigating from the Records Organizer to the Records Planner), and are in change mode.

Procedure

  1. In the file plan overview tree in the upper screen area, position the cursor on the file plan position to which you want to assign a record (or another element).

The selected file plan position is displayed in the lower screen area.

  1. Choose This graphic is explained in the accompanying text.

A dialog box is displayed, containing a list of all element types in order of type.

  1. If you want to assign a record to the file plan position, expand the Records node and choose the element type of the record that you want to assign to the file plan position. If you want to assign another element, expand the appropriate node and choose an element type.

The search dialog box is displayed (see Searching). You can search for all elements that belong to the selected element type.

  1. Select an element from the hit list.

Result

The selected element is inserted at the file plan position. The type of the element is displayed in the hierarchy level above the element.
