Use

When defining your profitability report, you specify the different analysis criteria mainly by selecting characteristics and value fields.

For general information about defining reports, see the section Structure link Report in the Drilldown Reporting documentation. The following is a brief description of those aspects of defining a drilldown report that are unique to Profitability Analysis.

Procedure

You can access the functions for defining reports from Customizing or from the CO-PA application menu. From the initial screen for defining a report, you can use tab pages to access - in any order you wish - any of the components of the report to be selected or processed.

Selecting Characteristics

You find all the characteristics of the operating concern in the Characteristics tab page. In this tab page, you can select the ones that you want to analyze. The characteristics that you select then form the different dimensions of the "data cube" that you wish to analyze. If characteristic groups have been defined for the operating concern, you can select one of those available in the Characteristic group field. If you enter a characteristic group, the system only displays the characteristics in that group, instead of all the characteristics of the operating concern.

Note

Note that the amount of data that is called up for processing by the report is determined by the number of characteristics selected and by which characteristics you select.

Selecting Key Figures

You find all the value fields of the operating concern in the Key figures tab page. In this tap page, you can select the ones that you want to analyze. If key figure schemes have been defined for the operating concern, you can select one of those available in the Key figure scheme field. In this way, the calculated key figures for the selected key figure scheme are added to the list of value fields.

Note

Note that it is not always necessary to choose key figures for your report. If you are defining a form report that uses a form for which key figures have already been specified, the Key figures tab page is not displayed and you cannot select any key figures here.

Reserving Variables

In the Variables tab page, you can select fields for entry from those that were stored as variables during report definition or in the form you selected. If you want to specify default values for report execution, fill in the fields using the possible entries function. In the case of variables that have been specified in the form, you can enter fixed values for these by deactivating the Entry at execution indicator.

Note

If no variables were used in the report or the form or the only variables used are filled automatically, then this tab page is not displayed.

Specifying Output Type

In the Output type tab page, you specify how the report should be displayed when executed.

Note

The performance option Read upon each navigation step (see below) is not suitable for this output type because Excel no longer accesses the system after the export.

Specifying Other Options

Reports can only be called up from inSight if the inSight indicator has been activated for them.

For each separate report, you specify from where the report should read its data. This setting has a strong bearing on performance during report execution. You can make settings specifying, on the one hand, what type of presummarization is to be applied to the data to be called up (summarization data or summarization level) and, on the other hand, whether the presummarized data is to be supplemented by current line items. For more detailed information about the types of presummarization, see the section Performance in the Information System.

When using summarization data, you can enter whether additional archived data should be read (see also the section Structure link Archiving CO-PA Transaction Data). If so, data appropriate to the report is read from the archive files for CE3xxxx (in addition to segment level CE3xxxx) when the summarization data is created for the first time and then it is included in the summarization data. It makes sense to do this with reports so that you can compare current data with existing archived legacy data. Archived data is displayed in the report without any particular flag. This means that the report looks as if no data has yet been archived.

Caution

If you are using archiving as a means of deleting erroneous data or test data, these two types of data are also displayed in the report and included in the summarization data.

Beside the setting determining which presummarization is to be applied when data is read, you specify how the report is to behave if, at the point of execution, no presummarization exists. For highly summarized reports that would terminate during execution in the absence of presummarization, select the Error message option to prevent such reports from being executed.

Deleting Profitability Reports

If you wish to delete a report, you can do this from the change transaction. However, if you want to delete an entire group of reports, it is easier to do this in Customizing using the Reorganize Reports function.
