Use

Data is usually transferred to Profitability Analysis automatically. However, in some cases it may be necessary to enter line items manually (for example, in order to correct postings).

Prerequisites

By creating characteristics groups and value field groups and assigning them to record types, you can reduce the number of the characteristics or value fields you need to enter and achieve the desired amount. In this way, entering characteristics and value fields is quicker and more individualized.

To define and assign characteristics groups and value field groups, choose Actual Flows of Values ® Initial Steps ® Characteristic Groups or Value Field Groups in Customizing.

Features

You access manual line item entry in the application menu under Actual postings ® Create line items.

You first enter the header data for each line item, specifying (among other things) which record type is to be used to post the line item. Enter in the tab page Characteristics those characteristic values that are to make up the profitability segment to which the line item is to be posted. Enter in the tab page Value fields those values that are to be posted to the profitability segment. You can choose from the technical fields and characteristics from SD and Controlling that are available in the tap page Source data. The fields that are offered are always the same ones; they cannot be limited to those forming a characteristic group. In some cases, some of the characteristics in these fields are also those offered in the tap page Characteristics. If this is the case, the characteristics offered in the tap page Source data are locked against manual entry. Only one value (possibly the one entered under Characteristics) is displayed.

If you have assigned characteristic groups and value field groups to the record type specified in the header data, then only those characteristics and value fields contained in these groups are offered in the corresponding tab pages. If you would then like to enter additional characteristics, you can replace the characteristics that were selected using the characteristic group by all the characteristics found in the operating concern. You do this by choosing Extras ® All characteristics <-> Characteristic group. Similarly, by choosing Extras ® All value fields <-> Value field group, you can switch between those value fields that were selected in the value field group and all those found in the operating concern.

Entry Aids

In the Characteristics tab page, you have the option of saving as user-specific entry aids particular combinations of characteristic values that you need to enter repeatedly. Enter the corresponding characteristic values and choose This graphic is explained in the accompanying text. All entry aids that you save are then listed under My entry aids. It is not possible to change the characteristic values belonging to an entry aid that has been saved. You can only change the description using This graphic is explained in the accompanying text.

When you double-click an entry aid, the system enters the corresponding characteristic values into the respective entry fields, including those that are not on view. With the exception of the controlling area, only fields that are unlocked for entry are filled. Fields that already contain data are overwritten or initialized by the entry aid. You are then able to overwrite or add to the characteristic values that were entered via the entry aid.

Use of entry aids for line item entry works according to the same principle as Entry Aids for Assignments to Profitability Segments. The only difference is that, for assignments to profitability segments, you also have the option of creating - alongside the user-specific entry aids - central entry aids that can be used by all users.

Derivation

You can use the Derivation pushbutton to execute Characteristic Derivation for the characteristics you have entered. When you do this, the system locks all the source fields for derivation so that no further entries can be made. If you have not executed derivation manually by the time posting is to take place, the system will automatically perform derivation.

Once characteristic derivation has been executed, you can run an analysis of the derivation by choosing Extras ® Analyze derivation. This function displays a log containing a list of the steps carried out during derivation. This log tells you which characteristic values were found and how they were found.

This column contains the description and the field name of the characteristic that was derived.

This is the characteristic value that was found.

This column tells you which type of derivation step was performed. It also gives you certain technical information (table name, function name, and so on).

You can display detailed information about the derivation by double-clicking the desired line.

You can use the function Cancel derivation to reset the fields to the state they had before you carried out derivation.

Valuation

If you activate the Valuation pushbutton, the system valuates the quantity and value fields (for more detailed information, see the section Valuation). You can perform the valuation interactively by choosing Edit ® Analyze conditions.

The system valuates the data based on the operating concern currency. If the currency you have entered (field Foreign currency key) differs from the operating concern currency, the currency is translated using the current average rate. If you have not executed valuation manually by the time posting is to take place, the system will automatically perform derivation.

Once valuation has been executed, you can run an analysis of the valuation by choosing Extras ® Analyze valuation.

You use the function Cancel valuation to reset the quantity/value fields to the state they had before valuation.

Posting

Once all the fields relevant to the line item are filled, use This graphic is explained in the accompanying text to post the data.

If you want to post the line item even though it was not valuated or characteristic values were not derived completely, you need to execute the function Post again after receiving the error message.

You can call up posted line items manually and automatically by doing one of the following:

If you do not know the document number for a line item, you can choose This graphic is explained in the accompanying text in the initial screen to call up a line item list based on your entries and then select a line item from that list.
