Prerequisites

The following prerequisites apply if you want to use the fund and/or functional area in Asset Accounting as independent account assignment elements.

Asset Accounting Customizing

Note

SAP recommends that you set the Ident indicator in this IMG activity. This guarantees that the fund and functional area are copied from the master asset when making postings and can no longer be changed.

Note

Note that you must activate the account assignment elements for all transaction types (using general entry) and both account assignment types (posting to asset balance sheet account and depreciation account assignment).

Caution

Note that after the production startup the account assignment elements should not be deactivated again as you influence the update of data by doing this and the transparency of the data in the information system is impaired.

You must also ensure the following: If derivation steps exist in your derivation strategy for deriving fund and/or functional area, as the field characteristic for the respective target field, you must define that the new value is not copied if a value already exists. (Indicator Copy New Value, if a Value Already exists). This setting guarantees that the fund and/or the functional area are copied for postings from the master asset and cannot be overwritten by a derivation step.

Master Data

If you want to divide the asset portfolio or depreciation of an asset according to fund and/or functional area, an asset or functional area must be defined in each asset. You enter these account assignment elements when creating an asset on the tab page Time-dependent. If a logically belonging together asset should belong to more funds and/or functions, you must create an asset with the same main asset number and different asset subnumbers for each combination.

If you want to change the fund or functional area of an asset, you must make a posting to the appropriate target asset because funds and functional areas, such as a cost center for example, are attributes of the master record.

Asset Transactions

Fund and/or functional area are always copied from the asset master record as the default value with asset transactions.

Note

This default value can only be overwritten manually if, against SAP’s recommendation, you have set the Ident flag for the activated account assignment objects in the Customizing of Asset Accounting.

Settlement to Asset

You can make a settlement of CO objects to an asset or asset under construction and thereby take into consideration the fund and/or functional area. The CO settlement rule contains only the main asset number. The correct main asset number is automatically determined by the system according to the specified account assignment values of fund and functional area.

Depreciation

The depreciations of the asset for each period and for each asset are calculated. The amounts are not posted individually into the general ledger; instead collective records are generated, whereby accounting documents including fund and/or functional area are created.

Information System

All asset accounting reports can be carried out with accrual/deferral according to the selected fund and/or functional area. This enables you to sort the assets according to fund and/or functional area and also to form the appropriate subtotal.

For a balance at fund level you can use reports Asset History Sheet and Stock List.
