Optically Archiving EH&S Documents: Process

Purpose

This process describes the typical scenario for archiving an EH&S document.

Process Flow

The archiving process depends on the EH&S document type. For each EH&S document type, an entry is made in Customizing to determine which data carrier is to be used to archive the documents. Either the SAP database (SAP-SYSTEM) or an archive can be specified as the data carrier.

The following EH&S document types are supported for the SAP EH&S Release 2.5A:

For reports:

SBV	Report template
SBR	Report – draft
SBE	Report – final version

For cover sheets:

DBV	Cover sheet template
DBE	Cover sheet – final version

For acknowledgements of receipt:

EBV	Acknowledgement of receipt
EBE	Acknowledgement of receipt – final version

For inbound documents:

IBD	Inbound document

For report shipping orders:

RDO	Report shipping order
LDO	Cover sheet or acknowledgement of receipt shipping order

For Excel documents from the specification information system:

ISX	Excel macro specification information system

To create document templates, follow the process flow under Document Template Editing.

To generate and release a report in draft form, follow the process flow under Report Editing.

To generate report shipping orders and documents in final ready-to-ship form, follow the process flow under Report Shipping: Process.

To output documents with Microsoft Excel, follow the process under Accessing the Specification Information System.

Result

The EH&S document is exported asynchronously to an optical archive.
