You can create a form in Financial Accounting Customizing under General Ledger Accounting ® Information System ® Drilldown Reports (G/L Accounts) ® Form ® Define Form.

Basic data

Enter the basic data for your form:

  1. Select form type financial statement key figures and enter a name for the form.

Caution

The SAP standard key figure reports have the name range 0SAPRATIO-01 to 0SAPRATIO-NN. For your form, use a technical name that does not lie within this name range.

  1. Select a structure with two axes (matrix).
  2. You can use a SAP standard form as a template. To do so, choose Copy from and select the desired SAP standard form.
  3. Choose This graphic is explained in the accompanying text Create.

General selections

Define your general selections, that is, define the characteristics that are valid for all columns and rows in your form.

  1. Choose This graphic is explained in the accompanying text. The Element definition screen appears. General selections
  2. Selected the characteristics you want to use from the characteristics available. Select the characteristic you want to use and insert it in the list of selected characteristics via the This graphic is explained in the accompanying text button.
  3. Enter a value or range for the selected characteristics.

Example

You only want to display actual data from a financial statement version. You thus select the following characteristics from the available characteristics and enter the following in the From field.

  1. To return to the display of your form, choose Confirm.

Column definition

Define the columns of your form:

  1. Select the column you want to define via a double-click and then select the element type Key figure with characteristics. The Element definition screen appears.
  2. Select the desired key figure. With the key figure you define what type of values you want to display for a specific column.
  3. From the available characteristics, choose the ones you need for the column. Select the characteristics you want to use and insert them in the list of selected characteristics via the This graphic is explained in the accompanying text button.
  4. For the selected characteristics, select fixed values or variables.
  1. If you have already defined columns, you can make calculations between these columns.

To do so, choose the column in which you want to make the calculations and choose the element type Formula. The formula editor, in which your predefined columns are defined as identifiers, appears. In the formula editor, you can use the basic mathematical calculations (+,-,*,/).

Example

For a key figure report, in which you for example want to see the debt/equity ratio over two years, you have to define the columns as follows:

  1. You can copy the characteristic definition of a column and insert the definition in another column. To do so, select the column to be copied using This graphic is explained in the accompanying text, position the cursor on the column to which it is to be copied, and choose This graphic is explained in the accompanying text.
  2. To return to the display of your form, choose Confirm.

Text definition

Entering the texts for your columns:

  1. Position the cursor on the desired column and choose This graphic is explained in the accompanying text. The screen for text editing appears.
  2. You can enter a short, medium and long text for the column name.

Note

If you want to enter a two-line name, you enter a semi-colon at the point where you want the second line to begin.

  1. If you use variables in the characteristic definition, you can also enter variables for the column names. The text for the column header is thus determined when the report is run.

Example

For the sample form debt/equity ratio, you can enter the following texts for the first column:

Row definition

You have the following options when defining the individual rows.

  1. Select the line you want to define via a double-click and then select element type Characteristics. The Element definition screen appears.
  2. If you want to define a financial statement item for a row, proceed as follows:
    1. From the characteristics available, choose financial statement item and insert it in the list a selected characteristics with the This graphic is explained in the accompanying text icon.
    2. The input help displays all the items from the financial statement versions that you have specified in the general selections. Select the desired financial statement item.
    3. The text defined in the financial statement version for the selected financial statement items is displayed and the row text. You can overwrite this text. To do so, choose This graphic is explained in the accompanying text.
    4. Confirm your row definition.
  1. If you want to define a constant for a row, proceed as follows:
    1. From the characteristics available, choose the characteristic constant and insert it in the list of selected characteristics using the This graphic is explained in the accompanying text icon.
    2. The input help displays the constants you have defined in Customizing. Select the desired constant.
    3. The text entered in Customizing for the selected constant is displayed as the row text. You can overwrite this text. To do so, choose This graphic is explained in the accompanying text.
    4. Confirm your row definition.
  1. Once you have defined the rows needed for calculating the key figure, you can define the row in which you want to calculated the key figure.

To do so, choose the row in which you want to make the calculations and choose the element type Formula. The formula editor, in which your predefined rows are defined as identifiers, appears. In the formula editor, you can use the basic mathematical calculations (+,-,*,/).

Example

For the example formula debt/equity ratio, under identifier choose the financial statement item Liabilities, / as the operator, and the equity item as the second identifier. As text for the row, you can enter Debt / Equity.

  1. To return to the display of your form, choose Confirm.

Save the form.

Note

You can hide the rows needed for calculating the key figure (such as liabilities and equity). Thus, only the calculated key figure is displayed. Position the cursor on the row you want to hide and choose Edit ® Rows ® Hide.

Result

You have created a form.

Based on this form, you can now create a key figure report.
