Proposal Pool Administration: Maintenance
Purpose
As of Release 4.6D, you can use the Maintenance function in Proposal Pool Administration to look up and maintain entries in the proposal pool. You can also generate lists of proposals according to specific packages and/or specific object types. You can further restrict your searches in the proposal pool according to text length, creator, creation date, and usage frequency, for example.
Prerequisites
translator status (value 3) for proposal pool maintenance assigned to you in your translator profile.
where-used list must be available in the system. If the message No where-used list exists - object reference not possible appears in the Object reference tab page, then it is not possible to search for proposals according to packages and object types.
Process Flow
You can access the Maintenance function in Proposal Pool Administration by calling up transaction STMA, selecting the source language and target language of the proposal pool you wish to maintain, and then choosing the Maintenance tab. Under Maintenance, you can then see the following three further options which enable you to define what proposals you wish to find. As soon as you have defined your search, you can choose Edit to start the search.
Text Selection
In this tab page, you need to enter at least one text string for the proposal pool entry/entries that you wish to find.
If you want to search according to the source language you have selected, make the following entries under Source text.
Here you can choose between the following search modes:
If you choose this option, the system only finds the proposal pool entry that exactly matches the text string that you enter in the Text field.
If you choose this option, the system finds entries that begin with the text string that you enter in the Text field. For example, if you enter Auftrag, system finds entries in the proposal pool that start with the text string Auftrag, such as Auftrag anlegen, Auftrag sichern¸ etc.
Here you need to enter the text string that you want to find.
If you want to search according to the target language you have selected, make your entries under Target text in exactly the same way as described above for Source text.

It is possible to search according to both source and target language. For example, if you search for source text Auftrag and for target text Order, the system only finds entries where Auftrag is translated with Order. Furthermore, you can use a different search mode for source and target language, for instance Only this text for source language and Tail search for target language.
All additional search criteria that you define in the tab pages Filter and Object reference are also displayed in this tab page under
Current filter conditions .Filter
In this tab page, you can restrict your search for proposals according to the following criteria:
Under Selection criteria, define the following:
Here you can limit the number of entries that the system finds. The default value is 250.
Here you can specify whether you want to include or exclude entries in the proposal pool that are either flagged for automatic distribution or locked by coordinators.
To exclude flagged and locked proposals, select the checkbox.
Here you can specify that you only want to find proposals that are used a specific number of times in the system.
If you want to define a usage frequency, select the checkbox to the left of Frequency of usage and then enter a number range in the two fields on the right-hand side. For example, if you only want to find proposals with usage counters between 5 and 20, you need to enter 5 to 20.
Here you can specify the length of the source texts you wish to find.
If you want to define a source text length, select the checkbox to the left of Length of source texts and then enter a number range in the two fields on the right-hand side. For example, if you want to find proposals where the source text is four or more characters long, you need to enter 4 to 255.
Here you can specify the length of the target texts you wish to find in the same way as described above for Length of source texts.
Here you can specify that you only want to find proposals that were created by a specific translator.
If you want to define a specific translator, select the checkbox to the left of Created by and then either choose or enter the user name of the translator in the field on the right-hand side.
Here you can specify that you only want to find proposals that were created between a specific date range, for example proposals that were created in the last 6 months.
If you want to define a date range, select the checkbox to the left of Created on and then enter a date range in the two fields on the right-hand side.
Here you can specify that you only want this worklist to contain proposals that were first created in a specific application node in the proposal pool (for example, BC - Basis components).
If you want to define an application, select the checkbox to the left of First application and enter the name of the application node in the field on the right-hand side.
Object Reference
In this tab page, you can restrict your search for proposals down to specific packages and/or object types. For instance, it is possible to search for proposal pool entries that only occur in data elements belonging to Basis (BC) packages.
To do this, you first need to activate the checkbox next to Object reference to DCs and object types. A warning message then appears to inform you that using the Object reference leads to higher runtimes.
Once the object reference is active, you can then define your search according to the following criteria:
You can display the packages you have currently selected by choosing the pushbutton next to
Result
Once you have defined your search, you can trigger the search by choosing Edit.
The system displays the proposals that match the selection criteria you have defined. The number of entries and the source and target language of the entries are displayed at the top of the screen. You can now edit the proposals in exactly the same way as you edit lists of proposals in transaction STMP. For more information, see
Editing a List of Terms in STMP.
