Use

The function Planning in Integrated Excel allows you to edit your EC-PCA plan data in Microsoft Excel instead of using the R/3 user interface, and upload this data directly into the R/3 System. For more information, see Integrated Excel in Planning. It is also possible to save the data you create in Excel on your PC, and upload it into Profit Center Accounting later using the "Flexible Upload" function. Before you can do this, you need to have carried out a number of preparatory steps.

Prerequisites

To use Excel with a particular planning layout, you need to define that layout and assign it to a planner profile (see Layout and Defining a Planner Profile.)

When you define the planner profile, enter a file description for the desired layout on the Layouts for Profit Center Accounting screen. The file description maps the fields of the planning layout to the Excel spreadsheet.

To map the Excel files stored on your PC with the corresponding file description, you also must enter a generic file name (such as "SALES*.TXT") for the Excel files that you want to have loaded. To do so, choose the Overview icon on the Default Parameters screen, then choose Generic file.

Then save the Excel layout on your PC by choosing File ® Save as... In this file you can then create and save the plan data you require.

Because R/3 interprets each row of the layout as a separate object when you upload, you need to delete all the totals rows from the spreadsheet, otherwise these will be written to the database as separate objects.

The system uploads exactly those objects that are stored in the file. For example, if you want to delete a profit center before uploading, you should enter the value "0" for that object. If you remove the profit center entirely from the spreadsheet, R/3 will not set its value back to zero.

You need to save the Microsoft Excel file in.TXT or .CSV format before uploading.

When the above requirements are met you can upload Excel files by choosing Planning ® Plan data transfer ® Upload Excel file ® Execute from the EC-PCA application menu.

The system asks you to specify a controlling area. You can upload data from a single file or from all the files in a single directory. When you upload data from more than one file, the system creates a few files on your PC. These files are overwritten every time you carry out an upload.

Caution

Before you upload an entire directory, make sure that you have no files with the names dir_file.TXT or dir_file.BAT in that directory. If you do, rename those files, otherwise they will be overwritten.

Specify which type of decimals you have used in your Excel files. For .CSV files, you also must specify what character separates the fields. For.TXT files, the system always assumes that TAB separates the fields.

Once you have carried out the upload, you can check the log by choosing Planning ® Plan data transfer ® Upload from Excel ® Log.
