Scheduling Archiving and Deletion

Use

In order to decrease the load on your database and to improve your system’s performance, you have the possibility of archiving and then deleting business partner data.

Prerequisites

Check whether the archive information structure, CA_BUPA_ALL, has been activated and that the necessary system settings have been made in the Customizing. See Archiving.

You can only archive business partners that have been flagged for archiving. You can set an archiving flag in one of the following ways:

Manual setting of the indicator Archiving flag in the Business Partner dialog on the tab page Status

Setting the archiving flag during data cleansing

Setting the archiving flag with the help of the transaction set deletion or archiving flag (BUPA_PRE_DA)

Start Archiving

In the initial screen of the archive administration (transaction SARA), enter the object name CA_BUPA for archiving business partners.

Choose the pushbutton Write.

You reach a screen on which you can schedule a background job for the write program.

You choose a variant of the report BUSOBARCH via the input help. You also enter a start data and define a spool parameter.

Note

If a variant has not been defined, you create a variant of the report BUSOBARCH. Select the business partners to be archived using the selection criteria and assign a short text for the archive.

You have scheduled a background job for archiving.

You can view the status of the archiving via the pushbutton Job overview.

Start the Deletion of Archived Business Partners

Note

This step is necessary only if you have not set the flag in the Customizing for automatically starting the deletion report with the stated report variant.

In the initial screen of the archive administration (transaction SARA), enter the object name CA_BUPA for deleting business partners.
Choose the pushbutton Delete.

You reach a screen on which you can start a background job for the deletion program.

Choose the archive files that you want to delete. You also enter a start data and define a spool parameter.

You have scheduled a background job for deleting business partners.

You can view the status of the deletion via the pushbutton Job overview.

Result

The business partner has been archived and then deleted.

Note

You can only archive and delete business partner data records as a whole. It is not possible to archive and delete only certain data of business partners.

The business partners archived or removed from the system, as well as the business partners that are still being used and that cannot be archived or deleted, are recorded in an application log.

In order to evaluate the log, choose the transaction Evaluate application log (SLG1) and enter the object BDT_DATAARCHIVING and the sub-object CA_BUPA.
