Availability Control for Internal Orders 

Purpose

The active availability control, within the framework of budget monitoring, informs you promptly when the budget is exceeded (either by actuals or commitments). When actuals, purchase requisitions or purchase orders, for example, are posted to an investment order that has been budgeted, the system checks whether the posting causes the predefined tolerance limits to be exceeded. If it does, then the system automatically issues either a warning (with or without sending a mail to the budget manager), or an error message that prevents the posting. In the example below, the system is supposed to issue a warning, with a mail to the budget manager, when a posting causes the order budget to be exceeded by more than 5%.

The process described here can also be used in the same way for investment projects.

Prerequisites

You have already worked through the following processes: Create Master Data: Investment Program, Project and Order, Carry Out Cost Planning, Specify Budget for Investments and Procurement for Investments.

  1. The following process displays central Customizing settings, and is intended for demonstration purposes only. Make sure you exit the transactions without changing the data.
  2. Display Tolerance Limits

  3. You enter yourself in Maintain Budget Manager, so you receive a mail when the budget is exceeded.
  4. Then you post an amount to your IT Procurement order to cause a budget overrun. The invoice is posted directly to a reconciliation account. It is not related to a purchase order.
