SAP HR Scenario  

This business situation is based on the assumption that a retail store has a constant connection to the central SAP R/3 System. The retail store accesses the SAP R/3 System via a SAP GUI or a Web GUI.

This scenario requires the infrastructure to be set up accordingly.

This scenario requires that time evaluation and time recording be completely performed in the SAP HR System.

This scenario contains the following processes:

Master Data Maintenance

The store manager edits the most important master data (such as organizational assignment) and personnel actions in accordance with the head office, or in an approval procedure. This data is regularly uploaded to the head office in SAP HR Personnel Administration. The head office confirms that the personnel action has been successfully processed.

Shift Planning

The SAP Retail System in the head office sends data relevant to personnel requirements (such as business volume plans, projected business volume, shipping notifications, inventory and campaign plans) to the SAP CAMPBELL StaffWorks Shift Planning System in the retail store (in development). SAP CAMPBELL StaffWorks uses this data, and data taken from the POS interface to create a distribution of the workload, according to activities and jobs. The store manager can then use this information as a basis to create a cost-effective weekly work schedule for his/her employees with SAP CAMPBELL StaffWorks.

Summary of Process Flow in a SAP HR Scenario

  1. The store manager uses SAP CAMPBELL StaffWorks to plan working times, or modifies the plans proposed by StaffWorks.
  2. StaffWorks transfers any work schedules generated by the system, or modified by the store manager, to the SAP HR System. This usually takes place in the form of a background job, once every night, for example.
  3. In SAP HR, Time Recording is run, and attendances and absences are recorded.
  4. The Time Recording System of the retail store uploads time events to the head office on a periodic basis, such as every night, for example. Time events are uploaded via the Plant Data Collection: Employee Times & Expenditures interface (HR-PDC).

  6. Following the data upload, SAP HR runs Time Evaluation, usually overnight. Time Evaluation evaluates the data collected from all retail stores, and calculates the time accounts, (such as total flextime, for example), and time quotas, (such as leave entitlement, for example), of all employees.
  7. These time accounts and time quotas are then downloaded to the time recording equipment in the retail stores.
  8. The following morning, the results of SAP HR Time Evaluation are available for the store manager to process. He or she then uses the system environment for decentralized time administrators to access the data of his or her employees, where he or she can then correct any errors, if necessary.

  10. He or she can then use all of the reporting functions available in SAP HR. For example, the store manager can print an overview of the time quotas of all employees.
