The Report Program and its Parameters

Instead of running standard reports through the hierarchy, you can use the step Info system ® Totals report in the Consolidation menu. A standard report can be called up for a fiscal year, a fiscal period, a version, a subgroup or a company in a subgroup. .
You can make the following parameter settings:

You obtain a list of all standard reports by clicking the possible entries pushbutton or by entering 4 in the report ID field. You can also make a generic selection using * (for example, SAP* ). You can then position the cursor on the list to select the appropriate standard report.

You can select the level of detail within a report with the List type parameter. List type 1 displays values as requested in the column definition. With list type 2 , item values of a subgroup are broken down further line by line by company shares. Finally, list type 3 allows item values to be broken down by partner shares. A breakdown by partner is particularly useful with regards to investment items, since it tells you how much is invested and in which companies.

Generally, list types 2 and 3 cannot be used for all standard reports. Particularly when comparing company groupings across different columns, you cannot perform a breakdown by company. On the other hand, when comparing company groupings across different lines, you can break each grouping down by company if you use list type 2 .

List type 9 analyzes the necessary data selections for specified totals report. First, the essential parameters and definitions are displayed for the totals report. The value types used in the column layout of the report are particularly important here as regards the necessary data selections.
The analysis of the data selections is displayed afterwards. From the analysis, you can tell which list types can be run and which current data selections exist.
If a list type or the entire totals report cannot be run due to missing data selections, the system informs you of this and states the causes of the problem.

The data selection for a specified totals report was executed without company shares and partner shares. The analysis of the necessary data selections indicates that list types 2 and 3 cannot be run because data selections are missing for company shares and partner shares.
Consolidation entries were made after the last selection was made. A delta selection has not yet been performed. The analysis indicates that there is no current selection for the consolidation entries and a delta selection must be made.

You need to specify the subgroup to be reported in the subgroup field. If you intend to compare several subgroups in the standard report, you should separate the respective subgroups by a slash (for example: SW1/SW2/SW3 ).

If you do not intend to create a standard report for a subgroup but only for a single company from the subgroup, you need to specify the company ID in the appropriate parameter. You should not, however, specify a company ID for reports which combine subgroup and company data, since in this case the company is taken from the column definition. When you enter a company ID in the request screen this always affects all columns globally.

For company reports, that is if you specified a company in the request screen, you can use a corresponding parameter to choose either values in group currency K or in local currency H . You can simultaneously print both the local and group currency amounts for a company by using valuations H1, GB or H2 on the one hand and L1, SC and L2 on the other in the column layout of a report, and by requesting values with K . However, subgroup reports can only ever be made in group currency, so this parameter cannot be used in this case.

You can specify your required valuation in the totals report request screen. This is advisable if you have not done so in the column definition for the totals report. If you do not specify a valuation in the totals report column definition nor in the report request screen, the system defaults to the valuation H3.

For ad hoc standard reports, it is sometimes best to only obtain information on an individual item instead of using all FS items in the line definition. With this in mind, you can enter an individual FS item to be valuated.

As mentioned in "Transaction Types", you can distinguish between FS items according to any criteria, for example profit center, by using transaction types. Breakdown by transaction type is generally only useful for reporting purposes. You can thus, for instance, specifically enter transaction type groups (see Transaction Types in the column layout of a report. However, if certain reports are applicable to several transaction type groups, for example a profit center income statement for each profit center, it is better to globally limit the profit center by means of the appropriate request parameter, rather than define a separate report for each transaction type group. The transaction type group entered in the request screen also affects all value columns of the column definition, as does the company ID. When you specify a transaction type group in the request screen, you therefore do not get a useful list for a standard report with transaction types in columns.

All lines of a standard report are printed by default according to the specifications in the line and column table. When you enter _ in the Print FS items w/o value parameter, those items of the line table for which only texts or zero values would result are not printed.

Scaling and definition of decimal places are supported. This definition may override specifications made in the report column layout. The pattern for entering scaling and decimal places can be found using the possible entries pushbutton.

The texts in a standard report appear by default in the logon language of the SAP system. If, however, a report is to be produced in another language, you can enter a corresponding language key in the Language parameter. Please ensure, however, that all texts (item texts, headings, consolidation texts) were also maintained in this language.

It is possible to forward the report to a spreadsheet program using a PC file. Refer to the field’s online documentation for detailed information.

Within standard reports, you can branch from the basic list or the list display of partner shares into the display of company shares. Similarly, you can branch from the basic list or the list display of company shares into the display of partner shares.

Printing reports

You can first execute reports on-screen, and then print them. Alternatively, you can start the combined function Execute + print. Please note the following concerning page breaks in printing:
