Defining a Report  

Choose Info system ® Reports to define or modify reports. Several sample reports are preset in the PC data entry program. You can use them as a template when creating new reports.

Creating a new report

When creating a new report, enter an ID, a name, and identifiers for the line and column layout. The ID’s may not exceed 8 characters. The ID’s must begin with a Z for all reports created by users other than ADMIN . You can use line and column layouts that already exist.

Defining a line layout

You can either create an entirely new line layout, or you can copy and modify an existing line layout as your template. Specify the following parameters for your line layout:

The sequence number determines the order of your lines. You can also control paragraphing and paging by the way you assign the two leading digits:

All values can be displayed on the report as positive numbers by entering a minus sign at the items that normally have a negative value. The value will appear positive in the output.

Highlight any lines you want to emphasize with color.

Use the entries described below to hide a range of columns on a line-by-line basis:

columns remain hidden starting at this line

columns become visible again starting at this line

Suppression begins at the line specified down to the line containing the revocation.

Enter the item and the transaction type, if applicable, on each line. Refer to the FS chart of accounts information provided in the PC data entry program under Master data.

Defining a column layout

You can either create an entirely new column layout, or you can copy and modify an existing column layout as your template. Specify each individual column, distinguishing between column 0 and the remaining columns. Column 0 is reserved for the line identifiers. Column parameters do not apply to this column.

The number of columns defined in the common parameters are displayed for further specification. Use the scroll bar, located along the bottom of the window, for paging among the columns.

You can define three heading lines. You can also use the same variables that were available for the report title.

Define the font size and width, the column’s distance from the left margin, and the column width.

You can use sub-lines to distinguish columns among several criteria. For instance, you can depict data for multiple years or versions on sub-lines.

Column parameters

You can access another year’s values via the first parameter. Likewise, you can access another period’s values with the second parameter. These variables let you avoid having to redefine reports for different years or periods.

Analogous to the line definition.

You can use a formula for referencing values from other lines or columns:

When specifying a base line, the column’s values are put into relation to that in the base line, thereby producing a percentage ratio.
