Availability Control Settings 

Use

The availability control settings give you a very refined degree of control over budget monitoring.

Prerequisites

You make the settings in the Funds Management IMG. For more information, go to that IMG and choose Budgeting and Availability Control ® Budget Profiles ® Set Up Budget Profiles , and Availability Control

Features

You determine the budget values in the budget profile which forms the basis on which the availability control is performed: Overall budget, annual budget, released overall budget, released annual budget.

You can define a usage rate and/or absolute variance as a tolerance limit for a combination of budget profile, activity group and action.

If you have entered a budget profile where availability control is against the annual budget and try to post actual or commitment values to a future year which as yet has no budget, the posting is treated in line with the tolerance limits set. For example: a posting of a $1000 is rejected in line with the percentage tolerance limit (because the system assumes a zero budget). Using a tolerance limit for which an absolute variance of, for example $5000, was specified, the system will however accept it.

You can define tolerance limits specific to individual Budget Structure Elements . These specific tolerances override the general ones.

Activities

Availability control monitors the funds available in line with the settings you have entered.

You can check whether availability control is active and how it is configured in the budgeting display or change mode of budgeting functions (original budget, releases, etc.). To do this, choose Extras ® Availability control ® Info. If availability control is not active, there is no display.
