Defining Budget Structures Using Group Assignments

Prerequisites

Procedure

  1. In the initial SAP R/3 screen, choose Accounting ® Financial accounting ® Funds management ® Master data ® Budget structure ® Change.
  1. Enter an FM area and the required data.

Be sure to set the Group assignments indicator.

Annual budget structure (year-dependent budget structure)

If you want to edit or change an annual budget structure, enter a fiscal year.

Overall budget structure (year-independent budget structure)

If you want to edit or change an overall budget structure, enter a fund but not a fiscal year.

Even if you have defined a budget profile for a fund enabling you to use overall values and annual values, you can only define the budget structure for this fund as non-year-dependent.

Editing subhierarchies

If you do not want to edit the whole funds center and commitment item hierarchy, you can enter a funds center and commitment item from which the hierarchy is to be built up. In addition, you can Restrict the Levels.

  1. Choose Continue.

An overview of the funds center hierarchy is displayed according to the entry point specifications that you have entered.

  1. Assign the commitment item groups to the funds centers.

If a commitment item group has been defined for several fiscal years, the commitment item group which either corresponds to the budget structure’s fiscal year or to the fiscal year before that is used for defining a year-dependent budget structure. Groups that are defined for future fiscal years cannot be used.

  1. Save the budget structure definition.

Result

After defining the budget structure using commitment item groups, you must carry out the following steps:

  1. Generate the Budget Structure from Groups.

You can display the budget objects and posting objects generated. To do this, choose Budgeting ® Budget structure ® Display. Do not set the Commitment item groups indicator on the initial screen.

You must only carry out the following steps if budget values already exist:

  1. Reconstructing Distributed Values
  1. Reconstructing Assigned Values
