New functions in SAPoffice
Description
The following functions are available from Release 3.0A:
- Integrated inbox
This inbox comprises various work lists. These are currently the workflow work
list (contains workflow objects) and the SAPoffice inbox list. The
view you require of the integrated inbox can be set flexibly.
- Substitute
In addition to the functional substitutes, you can define substitutes who can
log on in your mailbox. You can assign various authorizations to the
substitutes.
- Expiration date
Documents can be assigned an expiration date when they are created. When this
date has been reached, the documents are deleted automatically. You can change
the expiration date for documents which you do not want to be deleted. A
separate expiration date is defined for the outbox.
- Short message
Short messages provide a shorter way of creating and sending a document. When
the function is called, a window is displayed in which the recipient and
document text can be entered. The window is closed automatically after the
send operation.
- Automatic reply
You can define an automatic reply for a specific period. It is then sent in
reply to all messages you receive.
- Entering and displaying first name and surname
Instead of the SAPoffice or SAP name, you can enter the first name
and surname in the appropriate fields. Functions are available for searching
for names. You can see the first names and surnames in the appropriate display
fields.
- Internet
You can send documents via the Internet. You can enter the Internet address
directly on the send screen or select it from the address management. In the
second case, the address must be maintained appropriately.
- Including documents
You can include other RAW documents in SAP editor texts (type RAW).
- Creating a document and replying using a reference
When you create a document and reply to a document using a reference, the
document header and contents of the document selected as a reference are
preset.
- Remote Office
Remote Office means the following:
Two or more R/3 Systems can be connected with each other. All
SAPoffice functions as well as the Office database run in one R/3
System only (original system). Restricted Office functionality may be
available in the other remote systems (e.g. inbound processing). When these
functions are executed, the Office database in the original system is
accessed.
- X.500 connection on the send screen
If you want to fax, telex, or send documents via X.400, you can access the
X.500 directory instead of the address management and select recipients from
there.
- Subscribing to shared folders
Using this function, you can create and store an individual view of the shared
folders. The expanded structure is displayed for all folders subscribed to,
that is you see all folders the folder subscribed to is subordinate to and the
folder itself. Unviewed documents in the folder subscribed to are displayed in
color.
- Attachments
You can append attachments to SAP editor documents (type RAW). Attachments can
be any SAPoffice or PC documents: You can append existing documents
as attachments using the Upload function or create
new documents.
- Converting SAPoffice authorizations to SAP authorizations
The Office authorizations are now assigned in the SAP user. Two new
authorization objects were defined:
- S_OC_FOLCR (to create shared folders)
- S_OC_SEND (send authorization)
- Administration
New and extended functions are available to the administrator, such as various
statistics reports, reports for mass maintenance of addresses, an extended
reorganization report, etc.
- PC documents
Two cases are distinguished:
- You can include any PC documents in SAPoffice.
- In the special case involving an RTF document, you can communicate with
WinWord via RFC: You can call SAP functions in the WinWord editor.
You can make known a working directory, in which
you want to manage your PC documents, from the SAP System.
The administrator can create default documents
for any document types, which are used as a template when documents are
created.
