Proof of Delivery via Internet

Use

The proof of delivery (POD) process allows verification of the actual quantity accepted by the ship-to party or entry of difference quantities and reasons for these differences following goods issue posting. POD exclusively supports verification of deliveries entered by external customers.

The ship-to party can execute the proof of delivery directly in the SAP System via the Internet or a mobile data-entry device. Using this method, the quantities are verified once for the entire delivery. The proof of delivery status is depicted in the system with the following attributes: Relevant for the POD process, Differences were reported or Quantities were verified and confirmed . You can check the POD status at any point during delivery processing by using the status overview. The system does not make an entry in the document flow.

In most cases, there are no quantity differences to report. In these cases, verification and confirmation are triggered automatically, so the POD process occurs effortlessly. In the Internet scenario, we have expanded the POD function so that other members of the delivery chain (truck driver, for example) can also enter the verification of the actual quantity that was delivered. The truck driver can use a mobile telephone with an Internet connection to access the vendor's SAP System directly, where he or she can verify either the delivered quantity or the entire outbound delivery.

You can analyze and process reported differences in the SAP System by confirming the process manually once you find an explaination for the differences that occurred. In this case, the ship-to party essentially separates the verification process from the confirmation process. This means that you must now check the entry and then release it for further processing. Based on your entries, the billing documents that refer to the delivery are in turn created with the correct quantities. This minimizes administration costs because it eliminates the need for credit memos in this business process.

The decisive advantage in this function enhancement (see also proof of delivery ) is that the ship-to party can use the Internet, for example, to make postings (with the corresponding limited authorization) directly in the SAP System, without having to have an SAP System of their own.

Effects on Customizing

Make the following settings for the proof of delivery in the Implementation Guide (IMG) under Logistics Execution -> Shipping -> Delivery -> Proof of Delivery:

You must also set the POD-relevant indicator on the Shipping screen in the sales area data of the customer with whom you want to carry out POD processing.
