Book Attendance (No Dialog)

Use

This function lets you book attendance for business events. During this process, all billing and allocation data for the attendee is taken from the data stored for the attendee type.

You specify data for attendee types in Customizing for Training and Event Management under Specify Attendee Type Control.

Unlike the function Book/Payment info, where you can change billing and allocation data for an attendee, with this function you do not access a dialog box for this purpose and cannot therefore change the default data.

The following functions are not available with the Book function:

Choose Book/Payment Info to have access to all of the billing and allocation options.

Prerequisites

Data for the attendee you want to book must be already stored in the system.

You can also create an attendee or change attendee data on the Book Attendance data screen if required.

Procedure

On the SAP Easy Access screen, in the SAP Standard Menu, choose Human Resources ® Training and Events ® Attendance ® Book. The Book Attendance: Initial Screen appears.

  1. In the Business event type field, enter the required business event type.
  2. In the Time period field, enter the date business events should take place. The system automatically proposes the default date set in Customizing. You can change the period later on the data screen if required.
  3. Where relevant, specify the language in which the event should be held.
  4. Choose data screen.
  5. Select an attendee type.
  6. Enter an attendee of the attendee type you selected above.
  7. If you selected a group attendee type, you must also specify the number of attendees in the group.

  8. Under booking priority, select the priority of the booking: normal, essential, or waiting list.
  9. Choose to access a dialog box in which you can enter a numerical value for the booking priority. The system displays the priority intervals stored in Customizing.

  10. Select the required event from the business event catalog.
  11. Choose Book.

Result

You have booked the attendee for the business event.

Depending on the settings you made in Customizing for automatic output and on the status of the event, either preliminary or definite confirmation of registration is sent to the attendee.
