The report is used to create overviews of employees' absence quota data according to various aspects.
The number of employees in the overview can be limited using the first two selection blocks Period and Selection.
In the Selection of quotas block, you select the absence quota records for evaluation. You can choose which quota types you want to be included in the evaluation, with which time units and which deduction periods. For example, you may only want to include quota records with a deduction interval that intersects with the specified deduction interval. Only quota records with a validity interval that intersects with the data selection period of the first selection block are available.
If a selected employee has an absence quota record that is available for evaluation, his or her entitement to the quota is calculated for the Key date for entitlement and the deduction, remainder, and compensation for the quota record is calculated for the Key date for deduction.
The initial list contains the following data:
You can also show the following quota data:
You can also include the employees' organizational assignments in the list, either by selecting the organizational units on the selection block at the very foot of the screen or interactively on the output list. You can then group the employees who have been evaluated by organizational assignment and use the number fields to form subtotals if an employee changes groups. (Sort according to org. assignment and subtotals -> F1 help).
If the transfer pool for a quota record can not be evaluated (if the PDC recalculation date in the current employee's Payroll Status infotype (0003) is before or the same as the Key date for entitlement and Projecting quota status is switched off .
In the Display selection block, you can select whether employees without selected absence quota records appear in the list or not. If only employees to have been assigned at least one relevant quota record appear in the list, you can limit the display further. For example, you can display only employees whose selected absence quota records are sufficient in relation to the total entitlement (=total of all entitlements of the absence quotas for one time unit). You can display only employees whose total entitlement is not equal to zero or lies in a particular interval, for example. Note : If no time unit is specified when the quotas are selected, the records are displayed with the time unit used in the Selected entitlement field.
The same applies to the remainder, compensation and consumption.
If conditions are made on the quota entitlement and the quota remainder, only the employees who meet both conditions simultaneously are displayed.
If errors occur in processing, you can display them by choosing the Error icon.
Select all employees with Employment status other than 0 (that is, do not enter any personnel numbers).
Under Selection of quotas, enter the current year for the Deduction period.
In the Data format block, choose Org. assgmnt displayed and select
Activate the Sort according to organizational assignment and subtotals field.
The output list is then sorted according to time unit, personnel area and personnel subarea. Subtotals are formed each time the personnel area, personnel subarea and time unit is changed.
