Lockbox Procedure

Description

The lockbox procedure has been completely overhauled for Release 3.0, and is now a component of Electronic Banking with the bank data memory and the payment advice database.

The system imports the lockbox file in BAI format into the bank data memory, generating for each check a payment advice in the new payment advice database. The system then posts the checks by directly using a "call transaction", saving the created document numbers in the bank data memory as well.

Open items are always selected via the related payment advice note, although the note can be created either by EDI transmission because of the data in the lockbox file or by manual entry (To do this see Release note FI_30A_ZAHLUNGSAVISE). A payment advice note can contain invoice numbers from several different customers. This is especially the case if a group pays the invoices of their companies at the head office. You can use a parameter to check whether or not all the invoice numbers transmitted belong to the group's customers.

If the items cannot be cleared automatically, the check amount can be posted to the customer by posting on account. Therefore, the credit limit can also be updated.

Using the lockbox number, status and/or batch number with transaction FLB1, you can select and process checks subsequently.

For post-processing data, the system branches to payment advice maintenance, where you can change, add to, or delete clearing information. Here, you can classify deductions by using reason codes. Classifying deductions then enables you to post a deduction as a residual item to the customer account or a G/L account.

After changing the payment advice note, you can try posting again. To do this, you can select the sessions No screens, Only incorrect screens, or Display all screens.
