EnjoySAP: Time
Manager's Workplace
Use
SAP Release 4.6C introduces the Time
Manager's Workplace, featuring a user-friendly and task-oriented
interface for maintaining time data and processing time evaluation messages.
The new interface was specifically designed to meet the needs of time
administrators in decentralized departments.
Successful decentralization of time management
demands that tools used to manage employee time and labor be comprehensive,
efficient, and easy to navigate. Time administrators must learn how to use
time management functions quickly and be supported consistently and
efficiently by their IT system when carrying out their daily tasks.
Fulfilling these requirements was the main
focus behind the development of the Time Manager's Workplace for the
EnjoySAP initiative. A completely redesigned, integrated work environment was
created for the Time Manager's Workplace , one that greatly
streamlines and facilitates daily time management processes.
The Time Manager's Workplace provides
the following advantages for your time administrators:
- All time data (that is, data relevant for
SAP Time Management infotypes 2001, 2002, 2003, 2004, 2007, 2010, 2011,
and 2012, as well as data for cost assignment, activity allocation, and
different payment) can be entered, corrected, and completed on one
screen
- Time data is entered using easily identifiable
time data IDs instead of technical database keys (infotype and
subtype)
- Time administrators automatically see a list
of the employees for whom they are responsible without making any selections
manually
- All time data for a time administrator's
employees can be accessed automatically
- The following views are available on one
screen for maintaining time data:
- Multi-Day View: All time data
for one employee for several days
- Multi- Person View: All time
data for more than one employee for one day
- One-Day View: All time data
for one employee and one day
- Additional contextual information relevant for
an employee can be easily accessed by your time administrators, including the
following details:
- Status of employee time accounts (such as
leave remaining, flextime balance, or availability of additional time-off
credits)
- Simple navigation options using a
calendar
- Time data screens are reused for processing
time evaluation messages. Messages can be processed using a message- or an
employee-oriented view.
- By Customizing the profile settings, you can
set up the Time Manager's Workplace to suit the business-realated
requirements of your enterprise

A "role" with the technical name
SAP_HR_PT_TIME-ADMINISTRATOR is also available; this role contains the tasks
performed by time administrators. You can also access the Time Manager's
Workplace here.
Enhancements to
Existing SAP Time Management Interfaces
The Time Manager's Workplace
essentially replaces the application fields in the following
transactions:
- Maintain Time Data (PA61) - only for functions
in the transaction used by decentralized time administrators. Transaction PA61
is still relevant for centrally organized Human Resources departments because
of its high degree of integration with the Maintain HR Master Data
transaction (PA30)
- Time Management Pool (PT40) - specifically the
message processing report RPTERR00
- Time Recording for Multiple Persons and
Infotypes report (RPTENT00)
Quotas are still maintained using the
Quota Overview transaction (PT50) or PA61. However, all quota balances
are displayed in the Employee Data screen area of the Time
Manager's Workplace.
Transactions PA61 and PT40, as well as the
RPTERR00 and RPTENT00 reports, remain available and unchanged for SAP Release
4.6C. PT40, RPTERR00, and RPTENT00 will not be developed further in the
future.
The Weekly Recording Screen transaction (PA61)
screens 7150, 7160, 7170, 4054, 4055 and 4056), monthly calendar (screen
7100), annual calendar (screen 7000) and list entry will also not be developed
further in the future.
Additional
Functional Enhancements to the Existing Maintain Time Data
Transaction (PA61):
The following new functions are available in
the Time Manager's Workplace:
- Break times can now be entered for the
Attendances infotype (2002). Functionality provided by the
Overtime infotype (2005) is now supported in the Attendances
infotype (2002). As a result, the Overtime infotype (2005) is no
longer supported in the Time Manager's Workplace. In contrast, the
option for entering breaks in the Attendances infotype (2002) is now
only supported by the interfaces in the Time Manager's
Workplace.
- You can also enter attendances and absences
even if the required quota for a data record is already intended for use in
future attendances or absences. During the time recording process, the data
record already entered for the future is reset automatically and the new
record is deducted according to existing rules (deduction priority, for
example). The data record already entered for the future is then deducted from
the quota.
- The system automatically revaluates the
attendances and absences after a change is made in the planned specifications
and is no longer changed using dynamic actions.
Functional
Restrictions to the Existing Maintain Time Data Transaction
(PA61)
The following functions from transaction PA61
are not supported in the Time Manager's Workplace:
- In SAP Release 4.6C, the function for
triggering Workflow items when time infotypes are posted is not yet realized
in the Time Manager's Workplace
- Collisions in time data are not automatically
delimited
- Dynamic actions function is not technically
supported
- Country-Specific Restriction for United
Kingdom:
Absences containing
information relevant to continued pay cannot be changed in the Time
Manager's Workplace . This is the case when entries in table T554S call
up country-specific screens 2005, 2006, 2007, and 2008.
Effects on
Existing Data
Time data entered in the Time Manager's
Workplace is still stored in the infotypes in SAP Time
Management . Infotypes and subtypes remain the decisive method for
recording time data. The technical functionality behind the IDs used for time
data in the Time Manager's Workplace is used to simplify how the time
data is displayed in the interface. After the required steps to define the IDs
for time data are completed in Customizing, any type of existing time data in
the system can be displayed using the Time Manager's Workplace
interface.
You can automatically jump to the Display
HR Master Data transaction (PA20) and Maintain HR Master Data
transaction (PA30) from the Time Manager's Workplace. The last
selected personnel number is used as the entry object in these
transactions.
Recommendation
Users are recommended to switch off their
individual Object Managers. to prevent any confusion caused by the additional
options available for employee selection.
Effects on
Customizing
To modify the new user interface to suit your
requirements, complete the Customizing steps in the
Time Manager's Workplace section of the Implementation Guide
(IMG) for Personnel Time Management.
If you implement the Time Manager's
Workplace, then the
Time Management Pool and the
Customize User Interfaces sections in the IMG for Personnel Time
Management are obsolete, unless they are required for use by any centrally
organizated time administrators.
