The Business Event Attendance Administration scenario defines processing for inquiries and orders from (potential) business event attendees.

Interested parties ask about the conditions of business event attendance, receive offers, or are notified that their interest in attendance has been prebooked.

Business event attendees register for business events, cancel business event attendance, require a replacement candidate to attend in their place, or intend to change business events.

The organizer endeavors to meet their orders. If this is not possible, he or she suggests alternatives.

He or she can also cancel business event attendance.

Entering a Business Event Attendee Inquiry

The organizer receives an inquiry regarding business events and conditions of attendance. It can also refer to a subject area that is not yet covered by the business event offer.

First, the potential business event attendee's personal data is entered or updated. Finally, the inquiry is entered and forwarded to the department responsible for making offers so that it can be answered. A confirmation of receipt can be generated if required.

Creating a Business Event Attendance Offer

For a specific reason, the organizer creates an offer for a (potential) business event attendee. For example, an offer can be made as a reply to an inquiry, or as an alternative to an order that cannot be met by the organizer.

On the basis of information on possible business events, the places available, and the attendee himself/herself, the required places are reserved (if possible), and the conditions of attendance and the offer's validity period are determined. The offer must be transmitted to the attendee.

If an offer cannot be created, the attendee's requirement is prebooked. It can be taken into account by business event planning.

Registration Order Processing

The organizer has received a registration order. Part of a replacement or rebooking order can constitute this order.

First, the business event attendee's personal data is entered or updated.

The order is then entered.

If the attendee meets the prerequisites (qualifications, creditworthiness, etc.), and if sufficient places are available (that is, places that have not been reserved or have been reserved for the attendee), the attendee is registered. If attendance is not free, the attendance fee is calculated and the methods of payment are determined. The attendee can receive a (provisional or final) confirmation of registration. Furthermore, business event attendance can be taken into account by shift planning for an employee who works at the enterprise itself.

If the attendee does not meet the prerequisites, or if insufficient places are available, attendance is rejected and the attendee is informed of this decision. He or she can be made an alternative offer.

Enterprise-specific policies can determine that the organizer finds places for the business event attendee by displacing other attendees. In this way, an employee at the enterprise itself can be put on the waiting list or have his or her attendance cancelled so that an important customer can attend the business event concerned.

Replacement Order Processing

The organizer receives an order to replace a business event attendee with another. The

organizer enters the replacement order. He or she reserves the place of the attendee to be replaced for the replacement attendee, and registers him or her for the business event concerned.

If the registration is successful, the replacement order can also be completed successfully: attendance is cancelled for the attendee to be replaced, and the replacement fee is calculated. The parties involved must be notified. If the employees work at the same enterprise, the changed times can be taken into account by shift planning.

If the replacement attendee's attendance is rejected, the replacement order must be rejected too. The attendee is notified of the decision. He or she must be made an alternative offer, if possible.

Rebooking Order Processing

The organizer receives an order to rebook a business event attendee from one business event to another.

The organizer enters the rebooking order, and registers the attendee for a different business event.

If the registration is successful, the rebooking order can also be completed successfully: the old attendance is cancelled, and the rebooking fee is calculated. The attendee must be notified. If the employee works at the same enterprise, the changed times can be taken into account by shift planning.

If attendance is rejected, the rebooking order must be rejected too. The attendee is notified of the decision. He or she must be made an alternative offer, if possible.

Cancellation Order Processing

The organizer receives an order from a business event attendee to cancel a business event attendance. This order can constitute part of a replacement or rebooking order.

The business event attendance is cancelled, and the cancellation fee is calculated. The place in the business event is available again. If an employee works at the enterprise itself, the times reserved for the business event attendance can be released again. The attendee must be notified of the order's performance.

Cancelling a Business Event Attendance

The organizer cancels a business event attendance. This may be necessary if, for example, the business event concerned had to be cancelled, or if it is clear that an attendee on the waiting list is not going to be able to attend the business event.

The attendance is cancelled. If the business event is still offered, the place is available again. If an employee works at the enterprise itself, the times reserved for the business event attendance can be released again.

The attendee must be notified of the organizer's decision. He or she must be made an alternative offer, if possible.

Notification of Business Event Management

The parties involved in Business Event Management must be informed of the status of business event planning, the processing status of inquiries and orders, and possible alternatives.

Depending on the type of triggering activity, the recipients and transmission route are determined. The notification is created and transmitted to the recipient or recipients together with an offer of business event attendance, if necessary.
