Assign 

Use

You can use the "Assign" function to assign a reference to an SAP material master record for a selected part in the drawing.

Menu path: SAP ® Material ® Assign

When you start the function, the command line prompts you to select an info point or an item number in the drawing.

The following dialog box will appear:

 

 

 

Description of the dialog box:

In the top left section, the AutoCAD attribute field contents of the part contained in the drawing are displayed. In the top right section of the dialog box, the contents of the SAP fields of the material master record are displayed (assuming the search was conducted successfully). The AutoCAD attributes that are assigned to an SAP field are displayed on the same line as the SAP field in question. These assignments are defined when you configure the AutoCAD-SAP interface. The bottom section of the dialog box contains the SAP fields where you can enter search criteria. The matchcode you have selected will determine which fields are active (ready for input). Sometimes, fields in the top right section of the dialog box will also be active. If this is the case, you can also enter search criteria in these fields. The active fields may already contain default values from various sources:

If applicable, the values in the fields of the dialog box can be overwritten in this order.

Function

What the function does

Cancel

Terminates the function "Assign SAP material master record". Existing references will be retained.

Matchcode

If you click the "Matchcode" button, a dialog box appears displaying a list of the matchcodes available (this will depend on the configuration).

 

 

Description of the dialog box:

When you select a matchcode from the list, you will see the fields belonging to this specific matchcode in the dialog box at the back. You may browse through the list of matchcodes in order to find a combination of fields suitable for your purposes. Each combination of fields includes one index field (marked by an activated radio button). You MUST enter a search criterion in this field.

Search

Starts the function "Search for SAP material master records" using the search criteria specified.

 

 

If no records matching the search criteria are found, the following message will be issued:

 

 

If more than the maximum number of material master records specified are found (you can specify this number in the SAP system), you are notified of this, and the search process is interrupted.

 

 

In our example, we have specified a maximum of 150 material master records. At this point, you can either cancel the search, or continue with the search.

 

 

 

Function

Cancel

Terminates the function "Search for SAP material master records". You may work with the master records already found.

Search

Continues with the function "Search SAP material master records" using the search criteria specified.

If, when you continue the search, the maximum number of material master records is exceeded again, you are notified of this, and the search process is interrupted again. In our case, we might get the following message: "More than 00300 matchcode records found. List incomplete." If this happens, repeat the procedure described above. You can repeat this procedure until the number of new material master records found no longer exceeds the maximum record number.

If the search was successful, i.e. a match was found, the number of material master records found will be displayed in the bottom left of the dialog box. If more than one record is found, the contents of the first record are displayed in the dialog box.

 

 

 

 

Function

Backspace

Use the "Backspace" option to discard the search results and start a new search. The search criteria for the last search are deleted.

Next

If more than one record was found, use the "Next" button to display the next record found.

Prev

If more than one record was found, use the "Prev" button to display the previous record.

Browse

If more than one record was found, use the "Browse" button to open a dialog box displaying a list of all the records found.

 

 

Description of the dialog box:

You can use the scroll bar to quickly browse through the records in the dialog box. When you select an entry, it is then displayed in the large dialog box at the back.

Assign

The "Assign" function creates a reference to the selected part for the material master record currently displayed.

This reference is stored in the drawing. If the part in question is a part in the AutoCAD database, the reference is stored there – this means that referencing information is available the next time the part is used. If a part in the AutoCAD database occurs several times in the drawing, the same reference is used for all parts that are the same. If another AutoCAD part already references the material master record in question, the reference cannot be created.
