Changes in Document Archiving Summary

Summary

Within the conversion to new archiving methods, document archiving has been revised. In addition to the general changes which apply to all archiving objects and which were described in the release note "Changes in FI Archiving", the new functionality of the index letter is explained below.

Description

For 3.0, an index "Document number - archive number" can be updated upon request with every archiving run. Furthermore, the secondary indexes of the G/L accounts, customer accounts and vendor accounts are no longer deleted directly following archiving but after a period the user defines. Documents which were archived are indicated specially in this period. With the line item display, these can be chosen separately.

This method enables you to use the system to determine the archive in which the document searched for, either via an account or via the document number, was stored. This can be done with program SAPF055 (accessed via transaction SE38).

Change system parameters in customizing

Customizing settings are carried out in two places. Index management can be switched on by means of a selection variant for the delete program within document archiving (SAPF048D) by setting the "Hold FI index" field. This variant can be maintained via the central archiving transaction SARA in the general ledger:

Periodic processing -> Archiving -> Documents -> Archive -> Environment -> Customizing . You can create the variants via "Deletion program settings".

Next define the index lives in parallel with the account lives.

The index life specifies how many days, based on the posting date and the archiving key date, the secondary index for a document is to remain in the system with set indicators.

Example: The archiving key date is 04/01/94, index life 60 days, posting date document A 03/15/94, document B 01/15/94. The index for A is not deleted upon archiving, while the one for B is deleted.

As for account lives, an index life for a set of accounts can be allocated by masking the company code with "*". If no index life is specified, a minimum residence of 9999 days is assumed.

Changes to the interface

The deletion is done by a separate program (SAPF048I) which is started in the background following every archiving run and which searches the indexes for deletion suitability according to the above criteria. If required, the program can also be started manually; if possible, in the background. The user interface is described in the program documentation.

Further notes

In the old document archiving program and its delete program SAPF040D, a user exit that could be used for own index writing had been defined. This exit exists at the same position in SAPF048D. (Component name FARC0001, user exit name: EXIT_SAPFF048_001, maintained using transaction CMOD).
