Inventory Management: Check Shelf Life Expiration Date upon Goods Receipt

Description

As of Release 3.0, it is possible to check the shelf life of a material upon goods receipt.

Requirements

The shelf life is only checked if the following requirements are met:

General procedure for materials that do not have to be handled in batches

If a material does not have to be handled in batches, the following functions are supported:

Entry and check upon goods receipt

If the expiration date check is active, you must enter the expiration date or the date of production of the material for a goods receipt.

Upon goods receipt, the System checks whether the remaining shelf life entered in the purchase order or in the material master record is sufficient. If it is not, either a warning or an error message will be issued depending on the configuration.

If the goods receipt is posted, the expiration date is recorded in the material document.

Printing on goods receipt/issue slip

The expiration date is printed on the goods receipt/issue slip.

If the warehouse management system (MM-WM) is active, the expiration date is recorded in the transfer requirement, in the transfer order, and in the quant.
In this case, the printed transfer order serves as a pallet note.

General procedure for materials to be handled in batches

If a material is handled in batches, the following functions are supported:

Entry and check upon goods receipt

For a goods receipt, you must enter the expiration date or the date of production of the batch if the expiration date check is active.

Upon goods receipt, the System checks whether the remaining shelf life entered in the purchase order or in the material master record is sufficient. If it is not, a warning or an error message is issued depending on the configuration.

If the goods receipt is posted, the expiration date is recorded in the material document and in the batch master record.

If the batch already exists, the System additionally checks whether the expiration date entered or determined for the movement agrees with that from the batch record. If the dates differ, a warning or an error message is issued depending on the configuration.
If the goods receipt is posted even though a warning has been issued, the old expiration date is retained in the batch record.

The expiration date is printed on the goods receipt/issue slip.

Analysis of batches according to expiration date

You can create an expiration date list specifying the remaining shelf life, expiration date, and quantity for each batch.

Batch determination for goods issues according to expiration date
If a goods issue is entered in Inventory Management or a delivery in Sales and Distribution (SD), you can use the batch determination function to search for batches according to the expiration date.

If the warehouse management system (MM-WM) is active, the expiration date is recorded in the transfer requirement, in the transfer order, and in the quant.
In this case, the printed transfer order serves as a pallet note.
Batch determination can take place in Warehouse Management or in Inventory Management/Sales and Distribution.

Change system parameters in customizing

You can make the following settings in Customizing for Inventory Management:

Here, you can specify for each user group whether a warning message, an error message, or no message at all is to be issued in the expiration date check.

If the expiration date check is active, you must enter either the date of production or the expiration date, depending on the material, for goods receipts.

To call up the expiration date list from the Inventory Management menu, select Environment -> Stock -> Expiration date list.
