 Archiving and Deleting Business Partner Data

Use

In order to decrease the load on your database and to improve your system’s performance, you have the possibility of archiving and then deleting business partner data.

Prerequisites

Check whether the archive information structure, CA_BUPA_ALL, has been activated, and that the necessary system settings have been made in the Customizing . See Archiving .

You can only archive business partners that have been flagged for archiving.

Start Archiving

  1. In the initial screen of the archive administration (transaction SARA), enter the object name CA_BUPA for archiving business partners.

  2. Choose the pushbutton Write .

    You then reach a screen on which you can schedule a background job for the write program.

  3. Choose a variant of the report BUSOBARCH using the input help. You also have to enter a start data and define a spool parameter.

    Note Note

    If a variant has not been defined, create a variant of the report BUSOBARCH . Select the business partners to be archived using the selection criteria and assign a short text for the archive.

    You have now scheduled a background job for archiving.

  4. You can view the status of the archiving using the pushbutton Job Overview .

Start the Deletion of Archived Business Partners

Note Note

This step is necessary only if you have not set the flag in Customizing for automatically starting the deletion report with the stated report variant.

  1. In the initial screen of the archive administration (transaction SARA), enter the object name CA_BUPA for deleting business partners.

  2. Choose the pushbutton Delete .

    You then reach a screen on which you can start a background job for the deletion program.

  3. Choose the archive files that you want to delete. You also have to enter a start data and define a spool parameter.

    You have now scheduled a background job for deleting business partners.

  4. You can view the status of the deletion using the pushbutton Job Overview .

Result

Business partners were archived and then deleted.

Note Note

You can delete and archive complete business partner data records only. It is not possible to archive and delete only part of the business partner data.

The business partners archived or removed from the system, as well as the business partners that are still being used and that cannot be archived or deleted, are recorded in a log.

You can call up all the logs for your archiving object directly in the archive administration.
