This function is applicable for FPM forms only. You can use this function to create the Digital Personnel File (DPF) and print FPM forms.

Prerequisites

You have made the following settings:

  • You have activated the business Function HCM_ASR_CI_5.

  • You have maintained and activated the event linkage for DPF in transaction SWETYPV for processes with the status Complete.

  • You have set entry GEN_PDF with the value 'X’ in the customizing activity for Start of the navigation path Settings Next navigation step Settings for HCM Processes and Forms End of the navigation path under HR Administrative Services.

Features

The system creates digital personnel files when the process status is set to Complete; it triggers an event which generates a PDF file with the data from the last step of the process.

Note Note

Note that FPM forms cannot be directly stored as digital personnel files. A PDF file is first generated using the data from the FPM form and stored in the DPF as records. You will have to define the PDF file format in the Print Form template under Design Time tool.

Activities

A form template is required to generate a printable PDF format. This form template is available in Customizing for Start of the navigation path Design Time for Processes and Forms End of the navigation path, under Start of the navigation path Form Scenarios Next navigation step Other Attributes Next navigation step Print Form (FPM Form Type Only) End of the navigation path.

Note the following:

  • You can create a template in the Edit mode. The Create icon will be enabled if the form template is not yet maintained in the Edit mode.

  • You have to define and manage the layout for the form template using the Form Builder application (transaction SFP). You can activate the interface and form here. This can also be done in the Customizing for Design Time Processes and Forms (see Design Time Processes and Forms).
