On the Follow-Up tab, talent management specialists can perform follow-up activities that result from a talent review meeting.

Prerequisites

See Talent Review Meeting.

Additionally, the following prerequisites must be met:

  • You have defined which follow-up activities are to be available.

    To do so, in Customizing for Talent Management and Talent Development, perform the following activities under Talent Review Meeting:

    • Define Follow-Up Activities for Talent Review Meetings

    • Define Types of Talent Review Meetings

    • BAdI: Follow-Up Activities of Talent Review Meetings

  • If required, you have adapted the default follow-up list, meaning that you have defined additional columns or hidden columns.

    You can add or remove columns as follows:

    • Columns such as Talent, Assessment, or Note

      In Customizing for Talent Management and Talent Development, under Start of the navigation path Basic Settings Next navigation step Adjusting the User Interfaces Next navigation step Configurations for Data Retrieval End of the navigation path, perform the following activities:

      • Create Configurations

        Create a customer-specific configuration that you use instead of the standard configuration SAP_FOLLOWUP_LIST.

      • Assign Configuration to User Interface

        Assign your customer-specific configuration instead of the standard configuration SAP_FOLLOWUP_LIST to the parameter RM_FOLLOWUP_LIST.

      Note Note

      The system does not display the fields that you use the configuration to define for data retrieval on the user interface directly. These fields are available as a column pool instead. The administrator or end user can personalize the follow-up list and in doing so insert columns from this column pool.

    • Columns for follow-up activities such as Talent Group and Status:

      Create a relevant implementation for the Business Add-In (BAdI) Follow-Up Activities of Talent Review Meetings (HRTMC_B_RM_FU_ACTION).

      Note Note

      The system displays the columns that are defined by the BAdI implementation on the user interface directly.

  • On the Planning tab, talent management specialists have selected a type of talent review meeting that comprises follow-up activities.

    They thus specify which follow-up activities, and thus which columns, are available in the follow-up list.

    Performance Calibration

    The performance of the talents can be changed, the potential cannot be changed

    Update performance documents

    Talent Calibration

    The performance and potential of the talents can be changed

    Update performance documents and potential documents

    Approve or reject talent group nominations

    If talent management specialists have selected Performance Calibration as the type of talent review meeting, they can only update the appraisal documents with the performance values of the talents when following up on the talent review meeting.

    It is only possible to update the performance documents and potential documents if you implement the employee assessment with flexible appraisal processes. For more information, see Assessment of Employees.

Features

Talent management specialists can perform the following activities on the Follow-Up tab of the talent review meeting:

Working with the Follow-Up List
  • The talents for whom there are follow-up activities are displayed in a list. The follow-up list uses the SAP List Viewer (ALV) for Web Dynpro. Therefore, you can use the following ALV standard functions for Web Dynpro for the list:

    • Adjusting the display of the list

      For more information, see Display of List.

    • Sorting the list

      For more information, see Sorting the List.

    • Filtering the list

      For more information, see Filtering the List.

    • Exporting the list to Microsoft Excel

      For more information, see Exporting the List to Microsoft Excel.

  • You can save and reload all settings that you make for the list in views. The standard SAP system contains the following views:

    • Standard view

    • Notes view

    For more information, see Personalizing the List.

  • You can display the talents in the follow-up list grouped by different criteria, for example, by the organizational unit or the talent group to which they are assigned.

  • If there is more than one entry for a talent, the list contains multiple rows for this talent.

    Example Example

    A talent is assigned to the talent groups TB1 and TB2. You display the follow-up list grouped by talent groups. Therefore, the talent is listed twice, once under TB1 and once under TB2.

  • You can filter the display of talents by the agenda topics in which they were discussed.

    Note that only agenda topics with assigned talents are displayed for selection.

  • You can display a print preview of the follow-up list as a PDF document and then print this document.

    The print preview shows the list as it is displayed on the screen. If, for example, you have set a filter, the print preview contains only the filtered rows.

Following Up on Notes
  • You can display the notes in a separate view.

  • You can check and change the notes that were created during the preparation and holding of the talent review meeting.

    This applies to both private notes and notes for the presentation.

  • You can add new notes.

  • You can export the notes to Microsoft Excel.

    Note that the texts are not automatically wrapped in the Microsoft Excel file. Therefore, for longer notes you need to format the relevant cells such that the text is wrapped to show all of the note.

Editing the Follow-Up Status

The follow-up statuses have the following meaning:

  • Yellow triangle icon: Status Open

    You have not performed the follow-up activity completely or at all.

    Example Example

    If this status refers to a talent with more than one talent group nomination, it means that you have not followed up on the nominations either in part or at all.

  • Clock icon: Status Update Running

    The system is currently performing the follow-up activity in the background.

    In Customizing, you can specify that the performance assessments and potential assessments are to be approved in the background. For more information, see the Prerequisites section of Talent Review Meeting.

    Example Example

    In Customizing, you have specified that the performance assessments and potential assessments are to be approved in the background. When following up on a talent review meeting, the talent management specialist selected all talents and approved the performance assessments and potential assessments. While the system is transferring the performance values and potential values defined in the talent review meeting back to the appraisal documents for the talents, the status Update Running is displayed.

  • Green tick: Status Completed

    You have completed the follow-up activity.

  • Red circle icon: Status Error

    An error occurred during the follow-up activity.

Placing Talents On Hold

You can exclude talents from follow-up activities in the current talent review meeting. This is useful, for example, if these talents are still to be discussed in another talent review meeting at a higher level.

Additional Functions
  • Additional follow-up activities

    If there is a relevant implementation of the BAdI Follow-Up Activities of Talent Review Meetings, talant management specialists have additional or different follow-up activities available.

  • Automatic follow-up

    You can also have the system perform the follow-up activities in the background. Talent management specialists then set the talent review meeting to a relevant status, for example, Approved, and thereby trigger the processing (for example, the writing of performance values and potential values back to the appraisal documents) in the background.

    For this, implement the BAdI Status Change of Talent Review Meeting (HRTMC_B_RM_STATUS_CHANGE) accordingly. You can use the BAdI implementation to specify which status change triggers which activity.   • Status changes for the talent review meeting

    Talent management specialists can set different statuses for the talent review meeting. For more information, see Status Changes for Talent Review Meetings.
