Archiving of created documents

Procedure

For each correspondence type that can be optically archived, you must link an object type to a document type in Customizing. Choose Start of the navigation path Cross-Application Components Next navigation step General Application Functions Next navigation step Correspondence Next navigation step Archiving Next navigation step Define Archives for Paper Records End of the navigation path .

If you use object type BUS4401, which is provided by the correspondence tool, then no other parameters need to be transferred when a correspondence request is created by the application. The key used to find a document in the storage system of the archive is composed of the correspondence type and the correspondence key. You can choose to use your own object type for a correspondence type. In that case, you have to form the key for finding the document in the storage system of the archive according to the definition in the object type. When creating the correspondence request, you have to transfer it to the FKK_WRITE_CORR function module using the I_OBJECT_ID parameter.

If you provide additional information for use of the Document Finder , enter an archive structure in Customizing that describes this information. Choose Start of the navigation path Cross-Application Components Next navigation step General Application Functions Next navigation step Correspondence Next navigation step Define Correspondence Types, End of the navigation path and then Start of the navigation path Control Next navigation step Events End of the navigation path . You transfer this information to the FKK_WRITE_CORR function module when a correspondence request is created using the I_OBJECT_ID_LONG parameter.

Result

If you use the archiving mode Archive only or Print and archive in the output parameters (print parameters), then the documents are stored in your layout in the storage system.

If you use a raw data format for outputting documents, then optical archiving has to take place in the system that generates the layout of the documents.

The information for optical archiving can be found only if you use the two archiving modes listed above. The information is found in the application form in the variable C in the ARCHIVE_INDEX field. This field is a structure of type TOA_DARA, in which the above information is stored in the OBJECT_ID and NOTIZ fields.
