This function allows you to select EH&S reports according to various criteria, convert them to a format supported by the
Windows Wordprocessor Integration
(WWI) program, and then export them. This is an additional option for exporting reports from the report information system (report export). For more information, see
Report Export: Process
.
You can thus make EH&S reports available outside the SAP system and keep them up-to-date.
Report export in WWI-supported formats is also a special form of report shipping and is integrated in the
Report Shipping
section in Customizing for
Product Safety
.
You have edited the
Import and Export
section under
Tools
in Customizing for
Basic Data and Tools
. The Customizing activities you need to edit in Customizing for
Product Safety
are listed there.
The report must have the status
Released
or
Historical
.
A material must be assigned to the report or the substance for the report.
Export is carried out with the report program RCVDCREO. The report program can be executed as follows:
With the subsequent shipping indicator set in the report export order (default setting)
With this option, the report program is executed once with the required selection criteria specified. If new report versions are created for the exported reports, the new versions are exported automatically. New reports that did not exist at the time the report program was started are not shipped automatically.
Without the subsequent shipping indicator set in the report export order
With this option, the report program is executed when required (for example, once per month) to make all new reports available that were created in a specific time period.
You can select EH&S reports according to the following selection criteria:
Time interval
Report category
Generation variant
Language
Address number
The process continues as follows:
The system searches for all reports that have the status
Released
or
Historical
within the selected timeframe.
The system determines the material data (material ID and material name) for the reports found. If the material data is not found, no report is exported for this material.
The system determines the recipient data. If the system does not find any recipient data, nothing is exported.
The system creates a report export order for the selected reports.
As well as the EH&S reports, structured data for the respective specification is also exported (key file).
The process for the export orders created is similar to that described in Report Export: Process , with the following differences:
Export is carried out in accordance with the selection criteria you entered in the report program RCVDCREO.
The file is stored on the application server in the format you defined in Customizing for
Basic Data and Tools
(see Customizing activity
Report Export by Program: Check Additional Settings
).
The key file is written by the user exit category SRE_EXPKEY and user exit name CMTR_EXPKY. In the standard system, this creates the following format:
Name of material (product name)
Company name (Union Carbide Corporation)
Company code for Chemtrek (UCCC)
MSDS date (mm/dd/yyyy)
MSDS number (substance ID without leading zeros)
Product number (material number without leading zeros)
The report export order and subsequent shipping are also updated in the same ways as report export (see the
Result
section in
Report Export: Process
).
To execute report export manually, proceed as follows:
From the
SAP Easy Access
menu, choose
(transaction SE38).
In the
Program
field, enter the key
RCVDCREO
and choose
(
Execute
).
On the next screen, enter your selection criteria and choose
(
Execute
).
If the SAP system could select reports to be exported, it displays the number of report export orders created.
