Changing List DrilldownLocate this document in the navigation structure

Use

In the analytics list component, you can use the Drilldown Settings button to show an area by simply changing the drilldown and the aggregation of the list.

You can change the drilldown and the aggregation of the list by adding characteristics to the list, deleting them, or changing the sequence. You can add characteristics to the list either by drag and drop or with the context menu. Depending on the configuration, you can save the selected drilldown in a View.

Prerequisites

In the configuration of the analytics list component, you can determine how the user may change the drilldown of the list.

You have the following options in the configuration:

  • No Drilldown Allowed

You can only change the list using the settings dialog of the SAP List Viewer.

  • Vertical Drilldown Allowed

You can show the drilldown settings and change the list drilldown using these drilldown settings.

Initially, the drilldown settings show the characteristics contained in the row definition of the analytic query under Vertical Drilldown, and the free characteristics contained in the query under No Drilldown.

  • Vertical and Horizontal Drilldown Allowed

You can show the drilldown settings and change the list drilldown using these drilldown settings.

When you add a characteristic to the drilldown, you can decide if the drilldown of the key figure values is to have additional rows (vertical drilldown) or additional columns (horizontal drilldown).

Initially, the drilldown settings show the characteristics contained in the row definition of the analytic query under Vertical Drilldown, the characteristics contained in the column definition of the query under Horizontal Drilldown, and the free characteristics contained in the query under No Drilldown.

See Configuration of Analytics List Component.

Features

You use the Drilldown Settings pushbutton to display the characteristics available in the Drilldown Settings screen area. The characteristics available for the drilldown, and the way they are initially arranged, are determined by the definition of the analytic query.

The keys, descriptions, and attributes of the characteristics in the drilldown are displayed in the list, as well as the key figures, as defined in the analytic query. The columns belonging to a characteristic are displayed in a block, in other words, in a series of adjoining columns, such as Material Number (key), Material (description), and Material Type (attribute).

  • You can include characteristics from the No Drilldown area in the Vertical Drilldown or Horizontal Drilldown, or remove them from the drilldown and return them to the No Drilldown area.

  • You can change the sequence of characteristics.

  • You can move characteristics and key figures either by drag and drop or with the context menu.

Note

Key figures are displayed in the drilldown settings only as a key figure structure. The key figure structure cannot be moved to the No Drilldown area.

Vertical Drilldown Allowed

Initially, the drilldown settings show the characteristics contained in the row definition of the analytic query under Vertical Drilldown, and the free characteristics contained in the query under No Drilldown.

When you add a characteristic to the vertical drilldown, the columns belonging to that characteristic (for instance, display attributes, texts, and keys) are also included in the list.

The key figure values are displayed for each characteristic attribute, which creates additional rows. The columns belonging to a characteristic are added to the list as adjoining columns.

Adding Characteristics

You can add characteristics to the drilldown by drag and drop from No Drilldown to Vertical Drilldown.

When you add an additional characteristic in the Drilldown Settings, the system behaves as follows:

  • The system adds the newly added characteristic in the list after the key, description, and attribute columns of the previous drilldown characteristic.

    Example

When you add the SD Document characteristic after the Material characteristic, then the SD Document will be added after Material Number, Material (Description), and Material Type.

New rows are then added for each material, and for each relevant SD Document.

  • The system likewise adds all other relevant columns of the new characteristic to the list, such as description and attributes.

  • When you add a characteristic to the first position in the drilldown, then the characteristic is included in the list with all its related columns, in front of the drilldown characteristic that was previously in first position.

Removing Characteristics

You can remove characteristics from the drilldown by drag and drop from Vertical Drilldown to No Drilldown. Any related columns, such as description and attributes, are also removed from the list.

Note

You cannot use the Drilldown Settings to remove from the list the characteristic structures defined in the query because these do not only represent the drilldown, but they may also contain (complex) filter criteria. If you remove these structures (and consequently also the filter criteria), the displayed values would also change.

Changing Sequence

You can change the drilldown sequence by changing the sequence of the characteristics under Vertical Drilldown by drag and drop.

Example

In the Drilldown Settings, under Vertical Drilldown, Material Type appears in first position and Region in second. This means that the key value figures are first displayed by material type, and then each material type is displayed by region.

If you change the sequence of the drilldown characteristics by drag and drop of the region to the first position under Vertical Drilldown, the drilldown is first displayed by region and then, under each region, the characteristic values are displayed by material type.

Saving View of List

In the Vertical Drilldown, you can save views of the list. When you call up the view later, the relevant Drilldown Settings are displayed.

Vertical and Horizontal Drilldown Allowed

You can use all the functions of the Vertical Drilldown as well as the Horizontal Drilldown.

When you include a characteristic in the list and add it to Horizontal Drilldown, additional columns are added to the list for the combinations of characteristic attributes and key figure.

Under Horizontal Drilldown, you initially see an entry for the key figure structure. You can move this between the Vertical and Horizontal Drilldown in the same way as the characteristics. However, you cannot remove key figures from the drilldown with the Drilldown Settings.

Adding Characteristics

When you add a characteristic in the Drilldown Settings under Horizontal Drilldown, the system displays the key figures for the respective characteristic attributes in separate columns. You can see the characteristic values and attributes and the key figure in the column titles.

The position of the key figures and characteristics in the Drilldown Settings is relevant for the sequence of the columns in the list.

Example

You want to display detailed sales figures for a material. The list contains the key figures Quantity and Value. The list consists of three columns Material, Quantity, and Value.

The Country characteristic is not used in the drilldown.

Case 1:

You add the Country characteristic to the Horizontal Drilldown, after the key figure.

The system displays sales figures, for instance for the countries Brazil and Spain. This data is displayed in the newly created columns Quantity Brazil, Quantity Spain, Value Brazil, and Value Spain.

Case 2:

You add the Country characteristic to the Horizontal Drilldown, before the key figure.

The system now displays sales figures for the countries Brazil and Spain. This data is displayed in the newly created columns Brazil Quantity , Brazil Value , Spain Quantity , and Spain Value .

Removing Characteristics

You can remove characteristics from the drilldown by drag and drop from Horizontal Drilldown to No Drilldown. The key figures are then displayed in the list in aggregated form through the removed characteristic. This means that the key figures are no longer displayed in detail by country when you remove the country from the Horizontal Drilldown.

Note

You cannot use the Drilldown Settings to remove from the list the structures for characteristics and key figures defined in the query.

Changing Sequence

You can change the drilldown sequence by changing the sequence of the characteristics under Horizontal Drilldown by drag and drop.

Example

In the Drilldown Settings, under Horizontal Drilldown, Material Type appears in first position and Region in second. This means that the key value figures are first displayed by material type, and then each material type is displayed by region.

If you change the sequence of the drilldown characteristics by drag and drop of the region to the first position under Horizontal Drilldown, the drilldown is first displayed by region and then, under each region, the characteristic values are displayed by material type.

Changing Drilldown Direction

You can change the drilldown direction of a drilldown characteristic by drag and drop of the characteristic from Horizontal Drilldown to Vertical Drilldown, or vice versa.

Saving View of List

With the Vertical and Horizontal Drilldown Allowed configuration setting, you cannot save views of the list for technical reasons.. With this setting, you cannot save the view of the list in the list itself nor in the Settings Dialog.

This means that, each time you call the list, the standard view derived from the analytic query is displayed, and you have to change these settings if required. This is the main difference from the Vertical Drilldown Allowed setting.

Dependencies

In addition to the change options in the Drilldown Settings, you can change the list in the Settings Dialog of the SAP List Viewer in detail, for instance by changing the sequence of columns, or adding or removing columns.

The following data is displayed in the Column Selection of the Settings Dialog:

  • Key, description, and attributes of the characteristic, for instance material number, material (description), and material type

  • Key, description, and attributes of characteristics that are not available in the drilldown

  • Key figures, such as net value and quantity

Vertical Drilldown and Column Selection in Settings Dialog

In the Drilldown Settings, you only see one entry for each drilldown characteristic. This may contain the key and description of the drilldown characteristic as well as all the attributes contained in the query definition (such as description and key).

In the Drilldown Settings, you can only add, remove, or move characteristics together with their respective columns. On the other hand, in the Column Selection in the Settings Dialog of the SAP List Viewer, you can remove individual columns from the list, include them in the list, or change the sequence of individual columns.

Example

Case 1:

If you remove the Material characteristic from the drilldown using the Drilldown Settings, then the Material (Key), Material (Description), and Material Type columns are removed from the list.

Case 2:

If you remove the Material (Description) column from the list using the Column Selection in the Settings Dialog of the SAP List Viewer, then theMaterial (Key) and Material Type columns remain in the list.

The Vertical Drilldown and Column Selection in the Settings Dialog interact as follows:

Moving Columns in Column Selection

  • Moving columns in the Column Selection in the Settings Dialog of the SAP List Viewer has no effect on the drilldown of the list; it only affects the sequence of the columns displayed in the lists.

  • The only exception is that the sequence of the drilldown-relevant columns changes in the list as a result of columns being moved. In this case, the sequence of the drilldown changes.

The drilldown-relevant column of a characteristic is the column that contains the key of this characteristic. If this is not part of the list display, the column then contains the description of the characteristic. On the other hand, attribute columns are never drilldown-relevant. The sequence of the drilldown is determined by the sequence of the drilldown-relevant columns.

    Example

The list contains the following columns: Material (Key) and Material (Description) (first and second columns), and Region (Description) (third column). This first drilldown is then by material, and under that, by region.

In the Column Selection, you now move Region (Description) in front of Material (Description) in second place. This initially has no effect on the sequence of the drilldown since the sequence of the drilldown-relevant columns (Material (Key) and Region (Description)) has not changed.

If, on the other hand, you move Region (Description) in front of Material (Key), the sequence of the drilldown-relevant columns changes. Drilldown and Drilldown Settings are adjusted accordingly. The drilldown in the list is first by region and, within the regions, by material. The Drilldown Settings first display regions and secondly material.

Removing Columns in Column Selection

  • If you remove an attribute column of a drilldown characteristic in the Column Selection in the Settings Dialog of the SAP List Viewer, then the corresponding column is removed from the list. There are no other changes to the list and the drilldown.

    Note

You can identify an attribute column in the Column Selection by the column title, which ends with the corresponding characteristic in parenthesis.

    Example

Material Group (Material) indicates that the Material Group column is an attribute column of the Material characteristic.

  • If you remove a drilldown characteristic in the Column Selection in the Settings Dialog of the SAP List Viewer, then the drilldown is reduced and the Drilldown Settings are adjusted accordingly. Any existing attribute columns of the removed drilldown characteristic are likewise removed from the list and an appropriate message is displayed.

    Example

The columns Material (as a drilldown characteristic in the Vertical Drilldown) and Material Group (Material) (as an attribute belonging to the drilldown characteristic Material) are displayed in the columns of the list. If you remove the Material column in the Column Selection in the Settings Dialog of the SAP List Viewer, then the drilldown by material is removed from the list. This means that all key figures are aggregated over all materials, and the entry for Material is no longer displayed in the Drilldown Settings under Vertical Drilldown, but under No Drilldown. At the same time, the Material Group (Material) attribute column is removed from the list and an appropriate message is displayed.

This is because it makes no sense to display the attribute without a drilldown of the list by the relevant characteristic.

    Note

A drilldown characteristic can be represented by two columns in the list (Description and Key). In this case, removing only one of the two columns does not immediately compress the drilldown. The remaining attribute columns are only summarized and hidden when the second column is also removed from the list.

However, removing a key column of a drilldown characteristic may change the drilldown sequence. As described above, the description column of the drilldown characteristic, if one exists, becomes drilldown-relevant. If the sequence of the drilldown-relevant columns changes as a result, the drilldown sequence and the display in the Drilldown Settings is adjusted accordingly.

    Example

The list contains the following columns: Material (Key) (first column), Region (Description) (second column), and Material (Description) (third column). If the Material (Key) column is now hidden in the Column Selection, the Material (Description) column becomes drilldown-relevant instead. The sequence of the drilldown-relevant columns has now changed: First Region (Description) and then Material (Description). The drilldown is now first by region and, under this, by material. The Drilldown Settings show the region before the material accordingly.

  • The system remembers the hidden columns of a characteristic within a specific session. After you remove and add the characteristic again with the Drilldown Settings, the system shows only the columns of the characteristic that were contained in the list before the drilldown characteristic was removed.

    Example

The columns Material (Key) and Material (Description) (as a drilldown characteristic) and Material Group (Material) and Material Category (Material) (as an attribute belonging to the drilldown characteristic Material) are displayed in the list.

If you remove the Material (Description) and Material Category (Material) columns in the Column Selection, they are removed from the list.

If you now remove the Material drilldown characteristic with the Drilldown Settings, the two remaining columns Material (Key) and Material Group (Material) are removed from the list and all materials are aggregated.

If you subsequently add the material again to the drilldown with the Drilldown Settings, it will only be added with the columns that were displayed in the list when it was removed with the Drilldown Settings, in other words Material (Key) and Material Group (Material).

    Note

The system remembers the sequence of columns before they were hidden with the Drilldown Settings. It inserts the columns in exactly the same order when you add them again with the Drilldown Settings. However, the columns are always added as a series of adjoining columns. If the columns had been separated by columns of other characteristics after being moved in the Column Selection, this separation is ignored when the columns are added again. This has to be restored with the Column Selection, if need be.

Adding Columns in Column Selection

  • When you add the column of a characteristic that is missing in the drilldown in the Column Selection of the list, the list drills down a further level on the basis of this characteristic and the Drilldown Settings are adjusted accordingly.

    Example

You have removed the Material characteristic from the drilldown in the Drilldown Settings. In the Column Selection, you see all the columns belonging to the material, such as key, description, and attributes, under the hidden columns.

If you add the Material (Key) column in the Column Selection to the list, the list is drilled down by material and the Drilldown Settings are adjusted accordingly.

  • The drilldown sequence depends on the position where the column was added. To determine the drilldown sequence, the system determines the sequence of the drilldown-relevant columns contained in the list and adjusts the drilldown and the Drilldown Settings accordingly.

Saving View of List

With the Vertical Drilldown configuration setting, you can save the list as a view. A view saved in this way is specific to the displayed query.

If you select this view later, the system reconstructs the drilldown sequence from the drilldown-relevant column contained in the view and displays the Drilldown Settings accordingly.

Horizontal Drilldown and Column Selection in Settings Dialog

With the Vertical and Horizontal Drilldown Allowed configuration setting, you can also drilldown horizontally, in addition to the functions of the vertical drilldown described above.

The following description only refers to the interaction of the Horizontal Drilldown and Settings Dialog of the SAP List Viewer.

The Horizontal Drilldown and Column Selection in the Settings Dialog interact as follows:

Moving Columns of Horizontal Drilldown in Column Selection

  • If you change the sequence of the columns with combinations of characteristic attribute and key figure in the column settings, the sequence in the Drilldown Settings does not change.

    Example

You display sales figures for the countries Brazil and Spain by distribution channel.

In the Drilldown Settings, under Horizontal Drilldown you only see distribution channel, country, and key figure.

In the list and column settings, you see the columns Direct Distribution Brazil Value, Direct Distribution Spain Value, Retail Trade Brazil Value, and Retail Trade Spain Value.

You change the sequence in the Column Settings and drag Retail Trade Brazil Value to second place. The new sequence in the column settings is: Direct Distribution Brazil Value, Retail Trade Brazil Value, Direct Distribution Spain Value, and Retail Trade Spain Value.

This means that the sequence in the drilldown has changed as follows: Country, Distribution Channel, and Key Figures However, for technical reasons the system does not adjust the Drilldown Settings.

Removing and Adding Columns of Horizontal Drilldown in Column Selection

  • After removing the columns of the Horizontal Drilldown in the Column Selection in the Settings Dialog of the SAP List Viewer, the corresponding columns are removed from the list. There are no other changes to the list and the drilldown.

  • If you add columns in the Settings Dialog, these columns are always only displayed under Vertical Drilldown in the Drilldown Settings.

  • It is not possible to add columns to the Horizontal Drilldown with the Column Selection in the Settings Dialog of the SAP List Viewer. This is only possible with the Drilldown Settings.

Changing Drilldown with Drilldown Settings

  • For technical reasons, every change to the Horizontal Drilldown with the Drilldown Settings (in other words, by adding or removing drilldown characteristics, or changing the drilldown sequence) causes the list to be recreated.

Columns with key figures (that is, columns that display values) are rearranged. The new sequence of columns corresponds to the new Horizontal Drilldown.

    Example

If the Country characteristic is added to the Horizontal Drilldown, new columns are created for the combination of key figure and country, for instance Revenue DE, Revenue US.

If you only add the Month characteristic, the new columns are created according to the insert position.

For instance, if you add Month before Country, the following columns are created: Revenue January DE, Revenue February DE, Revenue January US and Revenue February US.

If you add Month after Country, the following columns are created: Revenue DE January, Revenue US January, Revenue DE February, and Revenue US February.

The columns with key figures thus change each time the Horizontal Drilldown is changed.

  • On the other hand, changes to the Vertical Drilldown with the Drilldown Settings do not cause the list to be recreated. All the changes made in the Settings Dialog remain intact.

Saving View of List

With the Vertical and Horizontal Drilldown Allowed configuration setting, you cannot save views of the list. This is the main difference from the Vertical Drilldown. This means that, each time you call the list, the standard view derived from the analytic query is displayed, and you have to change these settings if required.
