Selecting Filter ValuesLocate this document in the navigation structure

Use

Use the value selection dialog box evoked by the Select Filter Value context menu item to configure complex filter conditions. Filtering lets you define a set of criteria that restricts the set of records returned as the result of a query. With filters, you define which subset of data appears in the query result, allowing you to create new, more specific views of your data. You can select filter values while in analysis mode in the analysis grid or navigation pane.

The filter value selection dialog box lists all the values that belong to the dimension or structure member (key figure) of the currently selected cell, which allows you to select single or multiple contiguous or disparate values.

Tip

For example, you want to see how sales are doing in your South and East regions. To do so, you scroll in the analysis grid or navigation pane to a cell containing either the Region dimension or one of the regions itself. From the context menu, you choose Select Filter Value, and the value selection dialog box appears. In it, all the regions in the Region dimension are listed:

  • East
  • North
  • South
  • West.

You select South and East from the list, and confirm your selection. In the workbook, the analysis grid updates to show only the data for the South and East regions.

Note
  • You may also set a filter value on a free characteristic (one that is not already distributed into the result set on the rows or columns). Only the data that obeys the filter criteria is then aggregated into the result.
  • In contrast to Select Filter Value, Keep Filter Value, also available on the context menu, filters the query by a single particular selected value. Only the data for the selected value is displayed, and the value itself is removed from the result display. For example, to see only the data from the South region, select it and choose Keep Filter Value, and in the query results, all mention of regions disappears from the results and you only see the subset of data relevant to the South.
  • You can also filter using the context menu item Filter and Drill Down By → List of Dimensions (in the analysis grid only). This filters by the selected value (so that only its data is displayed), and also drills down according to an additional dimension, which you select from the list provided. In a drilldown, values for the selected dimension are added to the rows.

Procedure
  1. In analysis mode, scroll to or click in the analysis grid or navigation pane to select a dimension, characteristic, characteristic value, or structure member (key figure). You can select filter values in any cell except for data value cells.
  2. From the context menu, choose Select Filter Value.

    You can also evoke the filter value selection dialog box using the filter icons in the navigation pane.

  3. Make your selections from the dialog box. For more information, seeSearching for Values andSelecting Characteristic Values.
  4. Confirm your selections with OK to execute your query with the new filter.
Result

You have filtered your query by your selection. The analysis grid updates to reflect the results of the query with the new filter. In the navigation pane, if present, the third column (filter area) updates with the currently configured values of the corresponding dimension or structure member (key figure).

Note

To remove a filter, scroll to where you have configured the filter and from the context menu, choose Remove Filter. You can also use the remove filter icons in the navigation pane.
