On the SAP Web UI for Plant Maintenance, you can create, change, and display maintenance notifications. This application provides the essential functions of the SAP GUI transactions IW21, IW22, and IW23. In addition, it enables you to access context-specific additional information in side panels, work with quickviews, personalize tables, and use extended search options provided by the SAP NetWeaver Enterprise Search. This search is integrated in the input help for selecting technical objects. You can also process maintenance notifications from your personal worklist (POWL).

Integration

  • The Business Context Viewer (BCV) is integrated into this application. You can view business content and analytical information for a notification in the side panel.

Prerequisites

You have activated the business function Simplified Management of EAM Functions 3 (LOG_EAM_SIMPLICITY_3).

On your local client, you have installed the whitelist that specifies which directories can be used for document uploads. This is necessary if the add-on software component PLMWUI is active. For more information, see SAP Note 1224097Information published on SAP site.

If you want to display customer-specific fields in the maintenance notification, you have to implement the SAP notes 2108975Information published on SAP site and 2110216Information published on SAP site.

Features

Processing Notification Data

You can enter, change, and display notification data on the following tab pages:

  • General Data

    You can enter all relevant notification header data and a long text. Long text formatting behaves as defined in Customizing for Plant Maintenance and Customer Service under Start of the navigation path Maintenance and Service Processing Next navigation step Maintenance and Service Notifications Next navigation step Overview of Notification Type Next navigation step Format Long Text End of the navigation path.

    You can enter the technical object that the notification references. If the technical object is a linear asset, this data is displayed at header level. You can use a structure list to select the technical object. For more information, see Selection of Technical Objects from the Structure List.

  • Location Data

    You can view general location data and the location data of the assigned technical object. The data of the technical object is displayed when a technical object is entered on the General Data tab.

    Organizational Data

    You can display and change account assignment information and partner information.

  • Malfunction Data

    You can document damages by selecting predefined damage codes or by manually entering the damages along with descriptions and object parts. You can enter breakdown information, describe the causes in the details for the damages, and enter activities. You can enter several damages and causes at once by choosing the relevant pushbutton and then selecting the appropriate codes from a hierarchical tree.

  • Task Data

    You can enter tasks, set the status for one or more tasks, and remove tasks. You can enter several tasks at once by choosing the corresponding pushbutton and then selecting the appropriate codes from a hierarchical tree.

  • Activities

    You can enter activities and use them to confirm the work you have completed. You can select predefined activities or create your own and enter descriptions. You can also enter and confirm the time spent on each activity.

  • Documents

    You can display both the document info record and the original file of documents assigned to the notification. If the assigned document is a safety measure, its Safety Relevance field contains a value. You can delete existing assignments and create new ones.

    If you have activated the business function Simplified Management of EAM Functions 4 (LOG_EAM_SIMPLICITY_4), the system displays the number of assigned documents in the Identification Region.

Changing the Notification Type

If you have activated the business functions Simplified Management of EAM Functions 5 (LOG_EAM_SIMPLICITY_5) and Enterprise Asset Management Part 7 (LOG_EAM_CI_7), you can make Customizing settings that allow the notification type to be changed when users create and change maintenance notifications. To assign a different notification type, choose Start of the navigation path Additional Functions Next navigation step Change Notification Type End of the navigation path and enter the new notification type in the popup. The input help only contains the notification types that you have allowed in Customizing.

Assigning Notification Codes

Codes ensure that issues can be entered in a standardized way and therefore be evaluated automatically. In Plant Maintenance, codes describe damage and malfunctions, the causes of the damage as well as its maintenance and repair, all of which is entered as technical findings in the plant maintenance history. You assign codes with long texts and documents when you record damages and causes and enter activities and tasks.

Assigning an Order or Task List

If an order is assigned to the notification, you can view it within the same application window. If not, you can assign one by either selecting an existing order or creating a new one. It is also possible to delete an existing order assignment. Note that it is only possible to create a new order for a notification if you are authorized to do so.

You can assign a task list to the notification as long as an order has not been assigned to it yet. If the notification is assigned to an order later on, the system copies the operations of the task list to the order.

Specifying the Notification Status Depending on the Order Status

If you have assigned notifications to a maintenance order, you can determine that the status of the notifications depends on the status of the order. When you change the system status of the order, a popup appears so you can decide what you want the system to do with the assigned notifications. You can only use this function if you have activated the business function Simplified Management of EAM Functions 4 (LOG_EAM_SIMPLICITY_4).

Changing the User Status

Provided that you have the authorization, you can set and reset appropriate user statuses for the notification and the individual notification tasks.

Creating a Notification by Copying a Reference

You can create notifications using a template (reference notification). When you create a notification by copying an existing notification, you can decide whether you want the linked documents to be copied to the new notification as well.

Displaying Customer-Specific Fields

If you create or change maintenance notifications on the SAP Web user interface, you can display customer-specific fields that you have created in the customer namespace as well as the SAP standard fields. The customer-specific fields you create are then available in the field selection and can be included in specific user interface building blocks (UIBBs) in Customizing. The system displays your customer fields on one of the following tab pages of the screen areas you select:

  • General Data, Location Data, Organizational Data, and Malfunction Data at notification header level

  • Damage Details at operation level for a selected damage that has been reported

You can use the Business Add-In BAdI: Modification of Data in Notification BAPIs (IWON_NOTIFICATION) to check and adjust field values that are transferred in your customer-specific fields using the appropriate BAPIs.

Additional Functions
  • Status

    You can view the user and system statuses of a notification by choosing the Status Information pushbutton. By choosing the Set System Status pushbutton, you can change the same system statuses that are available in the SAP GUI transactions. When you save a notification that you have just created, it is created with the status Outstanding notification.

    You can change the system statuses as follows:

    • After creating the notification: Put In Process, Complete, or Postpone

    • After releasing the notification: Complete

    • After completing the notification: Put in Process Again

    • After putting the notification in process again: Complete

    • Set Deletion Flag

    • Reset Deletion Flag

    You can set these system statuses directly in the Order and Notification List as well.

    The technical IDs of the system statuses that are set for the current notification are displayed in the Identification Region. The descriptions of these system statuses are displayed in a tooltip.

  • Quickviews

    You can display quickviews with relevant information about technical objects, materials, and long texts without having to navigate away from the notification. Quickviews appear as separate windows when you hover over an object and provide a preview of the object with the most important information. In the quickview for a piece of equipment, for example, the category, manufacturer, location, and status information are displayed as well as a link to the functional location where it is installed. The quickviews provide both information and links for directly navigating to objects and data.

  • Long Texts

    You can create long texts directly in the malfunction data, task data, and in the activities, and edit the long texts in a popup. You can have the first few lines of the long text displayed in a quickview.

  • Additional Functions

    The following functions are available from the corresponding menu:

    • Add the order to your list of favorites.

    • Print out the shop papers of the notification either physically on an actual output device or virtually on the job card (output device Job Card).

    • Attach a new document

      This function allows you to upload a document that does not yet exist in your document management system. Once you have selected and uploaded a document in the document upload application, the system creates a new document info record and includes the document on the Documents tab of the notification. You must save the notification to complete the attachment.

Working with service notifications is not supported on the SAP Web UI for Plant Maintenance.
