In SAP Business One, you can set up the minimum and maximum quantities of items for your bin locations in the bin location master data. With the minimum and maximum quantities, you can replenish the inventory in your bin locations to the maximum if the inventory level falls below the minimum.

To replenish the inventory in a bin location, you can create receipt documents. Alternatively, you can transfer inventory from other bin locations to this one through either of the following reports:

  • Bin location list

  • Bin location content list

Note Note

SAP Business One lets you replenish the inventory in a bin location using the above two reports only when the bin location meets either of the following conditions:

  • The bin location contains a single item and the item quantity is not zero.

  • The bin location is restricted to a specific item and the item quantity is zero.

Only in the above situations can the system decide which item to replenish in a bin location.

In the two reports, you can get an overview of the inventory status in your bin locations from the following two columns:

  • Qty Below Min. – Indicates whether the inventory level in the bin location falls below the minimum quantity you defined.

    The quantity is calculated with the following formula:

    Qty Below Min. = Minimum QtyItem Qty

  • Replenishment Qty – Displays how many items you are recommended to replenish in the bin location.

    The quantity is calculated with the following formula:

    Replenishment Qty = Maximum QtyItem Qty

Note Note

Note the following:

  • For the bin location content list, if you select the Display Batch/Serial Numbers checkbox, the Qty Below Min. and Replenishment Qty are not calculated.

  • The calculation of the replenishment quantity is independent from the calculation of the quantity below the minimum. Even if a bin location’s Qty Below Min is negative, which means the inventory level of the bin location is above the minimum, the Replenishment Qty is calculated nevertheless. In this case, you can still choose to replenish the inventory for the bin location.

To replenish the inventory in your bin locations using the bin location list or the bin location content list, proceed as follows:

Procedure

  1. From the SAP Business One Main Menu, choose either of the following:

    • Start of the navigation path Inventory Next navigation step Inventory Reports Next navigation step Bin Location List End of the navigation path

    • Start of the navigation path Inventory Next navigation step Inventory Reports Next navigation step Bin Location Content List End of the navigation path

  2. In the Bin Location List - Selection Criteria or Bin Location List - Selection Criteria window, specify the selection criteria and choose OK.

  3. In the Bin Location List or Bin Location Content List window, select the checkboxes for the bin locations you want to replenish.

    Note Note

    For a more convenient selection of the bin locations, use the SAP Business One sort feature by double-clicking any column header.

    For example, if you just want to replenish the bin locations whose inventory level has dropped below the minimum quantities, you can sort the Qty Below Min. column and select the bin locations with a positive Qty Below Min. only.

  4. Choose the Bin Location Transfer pushbutton, and select Replenish Bin Locations from the opened list.

    The Inventory Transfer window opens, where the selected bin locations are on the receiving end of the document. SAP Business One automatically checks the existing bin locations which contain the items that are going to be replenished, and picks the issuing bin locations among them according to the automatic allocation methods of the warehouses.

    Note Note

    While searching for bin locations that contain the items that are going to be replenished, SAP Business One automatically filters out those bin locations which you have selected for replenishment.

    For example, you want to replenish the inventory of item A to 100 in bin location X, and bin location X already has 50 units of A in stock. While SAP Business One tries to find out from which bin locations the required 50 units can be issued, it immediately eliminates A from the possibility of replenishing itself.

  5. After you confirm all information, choose Add in the Inventory Transfer window.
