Use this window to add and update batches for documents.

When you add a new batch that already exists in another warehouse, a warning message appears. If you select the OK button, the attributes of the newly entered batch are overwritten by the attributes of the existing batch, including user-defined fields.

When the same batch already exists in the customer's system, in more than one warehouse with a different attribute, when you try to add a new batch with the same batch number, the attributes of the newly entered batch are overwritten by the attributes from the batch that was created first. But if more than one entry exists for the same batch on the same creation date, then the attributes of the newly created batch are overwritten randomly by one of those batches.

If the existing batch has no attributes at all, batches created afterwards will have no attributes as well.

The Location attribute is not overwritten by the location from an existing batch. It retains its setting in the Batches - Setup window (or empty if you did not enter any value).

  • The Rows from Documents area displays an item or a list of items from the relevant marketing document.

  • The Available Batches area displays the list of the available batches for the item.

  • The Selected Batches area displays the batches and unit quantity that you have selected.

  • The batches assigned to a specific customer who sends back goods are displayed by default in the Batch Number Selection window that opens from one of the following documents: return, delivery with a negative quantity, A/R invoice with a negative quantity, and A/R credit memo.

    The Selected Batches table displays the batches assigned to the base document in a return document based on a delivery, and an A/R credit memo based on an A/R invoice. Returns and A/R credit memos not based on a specific document display the batch numbers assigned to the specific customer.

    The Display Delivered Batches dropdown list is displayed. You can choose to display batch numbers From Base Document or Related to Current BP, or you can choose All to display all the batch numbers in SAP Business One.

  • Batches sent back to this specific vendor are displayed by default in the Batch Number Selection window that opens from one of the following document types: goods returns or A/P credit memos.

    A goods return based on a goods receipt PO and an A/P credit memo based on an A/P invoice display the batches assigned to the base document in the Selected Batches table. Goods returns and A/P credit memos not based on a specific document display the batches assigned to a specific customer.

    The Display Delivered Batches dropdown list is displayed. Choose to display batches from the base document or related to the business partner, or all batches for this item.

  • You can choose to display batch numbers From Base Document or Related to Current BP, or you can choose All to display all the batch numbers in SAP Business One.

Note Note

  • To open the Batch Details window, click Link Arrow (Link Arrow) to the left of the batch.

  • To separately display additional fields for each table, choose Form Settings (Form Settings) in the toolbar and select the desired fields.

  • If not all the required batches are selected, the Batch Number Selection window opens again while you are adding the document.

  • You can add and update batches in the Batch Number Selection window, as long as the document has not been added to the system and no inventory transaction was posted.

  • Copying Documents - If batches are selected within a base document that performed an inventory transaction, for example, a delivery, and this document was copied to a target document, for example, an A/R invoice, it is not possible to view the batch data in the target document unless the target document is one of the following: return, A/R credit memo, goods return, or A/P credit memo.

  • In the Batch Number Selection window, it is possible to choose the Batch Numbers Completion option from the Goto menu. The Batch Management – Selection Criteria window opens in the Complete mode for that specific item. For more information, see Completing Batch Numbers on Issue.

Rows from Documents
Whse Code

Displays the code of the warehouse from which you sell the item. Choose the arrow on the left-hand side to display Define Warehouses. You can view and update the necessary details.

Total Needed

Displays the total quantity of the item not yet selected.

Total Selected

Displays the total quantity of the selected batches.

Total Batches

Displays the total number of selected batches for the item.

Direction

Displays the type of the transaction:

  • In - Into the warehouse

  • Out - Out of the warehouse

Available Batches
Find

Enter the batch number to choose that batch from the list. Use Find when you have a long list of batch numbers.

Bin Location

Note Note

The column is available only if the following conditions are met:

  • You have enabled bin locations for the warehouse in the Rows from Documents table.

  • The item is issued primarily by bin locations.

Displays all the bin locations in the warehouse which contain the item.

Item Qty in Bin Loc.

Note Note

The column is available only if the following conditions are met:

  • You have enabled bin locations for the warehouse in the Rows from Documents table.

  • The item is issued primarily by bin locations.

By default, the column is hidden. You can make it visible using the form settings.

Displays the quantity of the item in each bin location.

Batch

Displays the list of batch numbers. Use the selection options to choose the required batch numbers from the list. Choose the arrow on the left hand side to display Batch Details.

Available Qty

Displays the number of the available units in the batch. Available Qty = In Stock – Selected Qty (from the Selected Batches table).

The column displays the available quantity of items in the batch in each bin location if the following conditions exist:

  • You have enabled bin locations for the warehouse in the Rows from Documents table.

  • The item is issued primarily by bin locations.

Selected Qty

Displays the number of units that you want to select.

Allocated Qty

Displays the allocated quantity of other sales orders or reserve invoices, not including the current document.

First Allocated Document

Displays the document type and number of the sales order, A/R reserve invoice, or inventory transfer request where the batch is allocated, according to the following rules:

Note Note

The field does not display the current sales order, A/R reserve invoice, or inventory transfer request, even if the current document is the very first document where the batch is allocated. In this case, the field displays the type and the number of the document where the allocation is the second earliest.

  • If the batch number has not been allocated to any of the three types of document, the field is blank.

  • If the batch number has been allocated to one sales order, A/R reserve invoice, or inventory transfer request, the field displays the type and the number of that document.

    To view or change the allocation in the document, open the document by clicking Link Arrow (Link Arrow) to the left of the document type and number.

  • If the batch number has been allocated to more than one document of the three types, the field displays the type and the number of the document where the allocation is chronologically the earliest and still remains valid.

    If the allocation in the chronologically earliest document is removed, the field displays the second earliest document where the allocation is valid. However, if the allocation in the chronologically earliest document is restored, that document still remains the earliest document and the field displays the type and the number of this document, as if the removal had not happened.

    Recommendation Recommendation

    To view all the documents to which the batch number is allocated, open the List of Allocated Documents window by clicking Link Arrow (Link Arrow) to the left of the document type and number. The list does not include the current sales order, A/R reserve invoice, or inventory transfer request.

Displays the total quantity of items in the batch.

Allocated Qty in Base Document

Displays how many items from the batch are allocated to the current sales order, A/R reserve invoice, production order, or inventory transfer request row, excluding those that you have selected in the Selected Batches table.

If required, update the quantity. Ensure that the number you enter does not exceed the available quantity and does not influence the already released or picked items.

Allocated Qty in Pick Lists of Base Doc.

Displays how many items from the batch are allocated to all the pick lists created for the current sales order, A/R reserve invoice, production order, or inventory transfer request row, excluding those that you have selected in the Selected Batches table. The field is not editable.

First Allocated Pick List of Base Doc.

Displays the document type and number of the first pick list to which the batch is allocated among all the pick lists that are created for a sales order, A/R reserve invoice, production order, or inventory transfer request row.

You can view or change the allocation in the pick list. To do so, open the pick list by clicking Link Arrow (Link Arrow) to the left of the document type and number.

Note Note

The field does not display the current pick list. For example, if you open the Batch Number Selection window from a pick list and the pick list is the very first one to which the batch is allocated, the field displays the second pick list to which the batch is allocated.

Selected Batches

For inventory counting documents, the heading of this area is Counted Batches; for inventory posting documents, the heading is Batches Difference.

Batch

Displays the list of the batches selected for the item. Choose the arrow on the left-hand side to display Batch Details.

Selected Quantity

Displays the number of units that you have selected

Bin Location Allocation

Note Note

The column is available only if the following conditions are met:

  • You have enabled bin locations for the warehouse in the Rows from Documents table.

  • The item is issued primarily by batch numbers.

Displays how many batch items are allocated from bin locations. You must fully allocate the items from bin locations; otherwise, the field is marked in red and you cannot add the issue document.

To manually allocate batch items from bin locations, click Link Arrow (Link Arrow) to open the Bin Location Allocation - Issue Window.

Automatic Allocation

Note Note

The pushbutton is available only if the following conditions are met:

  • You have enabled bin locations for the warehouse in the Rows from Documents table.

  • The item is issued primarily by batch numbers.

In addition, the pushbutton is editable only after you have selected the batch items from the Available Batches table to allocate to the Selected Batches table.

To let SAP Business One allocate the selected batches from bin locations automatically, choose the pushbutton and select one of the following options from the opened list:

When you select any of the following five options, SAP Business One clears the current allocations and re-allocates the selected batches from bin locations according to the method you select.

  • Single Choice – The system allocates the selected batches from bin locations using the single choice method.

    Single choice is a method of allocating items from bin locations when there is only one way of doing so. If there is more than one way to allocate the item, the single choice method is not in effect.

  • Bin Location Code Order – The system allocates the selected batches from bin locations according to the alphanumeric order of the bin location codes.

  • Alternative Sort Code Order – The system allocates the selected batches from bin locations according to the alphanumeric order of the bin locations' alternative sort codes.

  • Descending Quantity – The system allocates the selected batches from bin locations according to the descending order of the item quantity in the bin locations.

  • Ascending Quantity – The system allocates the selected batches from bin locations according to the ascending order of the item quantity in the bin locations.

  • FIFO - Allocates items from bin locations according to the "First In, First Out" principle

  • LIFO - Allocates items from bin locations according to the "Last In, First Out" principle

Auto Select

Note Note

The pushbutton is available in either of the following situations:

  • You have not enabled bin locations for the warehouse in the Rows from Documents table.

  • The item is issued primarily by batch numbers.

Choose to automatically select the remaining quantity of batch units for the item.

Selection Method

Note Note

The pushbutton is available when the following conditions are met:

  • You have enabled bin locations for the warehouse in the Rows from Documents table.

  • The item is issued primarily by bin locations.

To let SAP Business One automatically select the batch items from the Available Batches table to allocate to the Selected Batches table, choose the pushbutton and select one of the following methods from the opened list:

  • Auto Selection – Selects the batch items from top down in the Available Batches table.

  • Single Choice – Selects the batch items from bin locations using the single choice method.

    Single choice is a method of allocating items from bin locations when there is only one way of doing so. If there is more than one way to allocate the item, the single choice method is not in effect. For more information, see Automatic Bin Location Allocation in Issues.

  • Bin Location Code Order – Selects the batch items from bin locations according to the alphanumeric order of the bin location codes.

  • Alternative Sort Code Order – Selects the batch items from bin locations according to the alphanumeric order of the bin locations' alternative sort codes.

  • Descending Quantity – Selects the batch items from bin locations according to the descending order of the item quantity in the bin locations.

  • Ascending Quantity – Selects the batch items from bin locations according to the ascending order of the item quantity in the bin locations.

  • FIFO - Allocates items from bin locations according to the "First In, First Out" principle

  • LIFO - Allocates items from bin locations according to the "Last In, First Out" principle

Allocated Qty

Displays the allocated quantity of other sales orders or reserve invoices, not including the current document.

Note Note

Batches are shown in the selected grid only when the document is fully based on its originating document. Exceptions to this rule are cases of batches that are partly based on, for example, a sales order or reserve invoice.
