SAP Crystal Reports Viewer Locate this document in the navigation structure

In the SAP Crystal Reports viewer in SAP Business One, you can view the following:

  • Crystal reports

  • Crystal Reports document layouts

The SAP Crystal Reports viewer provides the following functions for both reports and layouts:

  • Exporting documents and reports

  • Navigating to different pages

  • Searching for text

  • Changing the zooming factor

You can perform the following functions on reports only:

  • Filtering data by changing the parameters

  • Navigating to different groups of data

Note Note

If the SAP Crystal Reports viewer does not support the chosen SAP Business One display language, the English language is displayed. The SAP Crystal Reports viewer supports the following languages:

  • Portuguese (Brazil)

  • Chinese (Simplified)

  • Chinese (Traditional)

  • German

  • Dutch

  • English

  • French

  • Italian

  • Japanese

  • Korean

  • Spanish

  • Swedish

Filtering Report Data by Changing Parameters

The Parameter panel is available only for reports that require users to enter parameters.

In the parameter panel of the SAP Crystal Reports viewer, you can change the report parameters to filter the data to be displayed in the report. You change different types of parameters in different fields, for example, dropdown boxes, date or time pickers, and advanced dialog boxes.

If a parameter is not mandatory, you can delete it from the parameter panel by selecting it and then clicking the Delete icon at the top of the panel.

  1. To display the parameter panel, in the toolbar of the parameter panel, click the Toggle Parameter Panel (Toggle Parameter Panel) icon.

  2. In the parameter panel, click in the field of a parameter.

    An icon appears beside the field.

  3. Click the Show the Advanced dialog box (Show the Advanced dialog box) icon mentioned in Step 2.

  4. In the Enter Parameter Values dialog box that appears, specify a parameter or parameter range.

  5. Choose the OK pushbutton.

  6. Click the Apply icon at the top of the parameter panel.

Exporting Documents and Reports

You can export a document or report via the SAP Crystal Reports viewer to your computer in one of the following file formats:

  • Crystal Reports (*.rpt)

  • PDF (*.pdf)

  • Character Separated Values (CSV) (*.csv)

  • Microsoft Excel (97-2003) (.xls)

  • Microsoft Excel [97-2003] Data-Only (.xls)

  • Microsoft Excel Workbook data-Only (*.xlsx)

  • Microsoft Word (97-2003) (.doc)

  • Microsoft Word (97-2003) - Editable (.rtf)

  • Rich Text Format (RTF) (*.rtf)

  • XML (*.xml)

To export a document or report, proceed as follows:

  1. In the toolbar of the SAP Crystal Reports viewer, click the Export Report (Export Report) icon.

  2. In the Export Report window, navigate to the folder on your computer where you want to save the file.

  3. In the File name field, enter a name for the file you are exporting.

  4. From the Save as type dropdown list, select a file type.

  5. Choose the Save button.

Navigating to Different Groups

Data in a report may be grouped according to the design. The SAP Crystal Reports viewer provides a group tree for you to find your data more easily in a report.

To navigate to different groups, proceed as follows:

  1. In the toolbar, click the Toggle Group Tree (Toggle Group Tree) icon.

  2. In the group tree panel on the left, select a group.

A red box appears in the report to highlight the relevant data in the report.

Navigating to Different Pages

Depending on your data volume or parameters defined, a report or document may have more than one page. To navigate to different pages, do either of the following:

  • In the toolbar of the SAP Crystal Reports viewer, click any of the following icons:

    • Go to First Page (Go to First Page)

    • Go to Previous Page (Go to Previous Page)

    • Go to Next Page (Go to Next Page)

    • Go to Last Page (Go to Last Page)

  • In the toolbar, in the page number field, enter a page number and press Enter.

Searching for Text

To search for text in the document or report:

  1. In the toolbar, click Find Text (Find Text).

  2. In the Find Text dialog box, in the Find What field, enter the text you want to find.

  3. Choose the Find Next button. To find multiple instances of the text, choose the Find Next button as many times as you require.

Changing the Zooming Factor

To change the zooming factor in a document or report, in the toolbar, click Zoom (Zoom) and select an option from the displayed list.

To define a zooming factor that does not appear in the list, proceed as follows:

  1. From the Zoom list, select Customize. The Zooming dialog box appears.

  2. In the field, enter a value from 25 to 400.

  3. Choose the OK pushbutton.
