During inventory issue, while SAP Business One can allocate serial and batch items from bin locations automatically, you can also allocate manually.

The following procedure explains how to manually allocate serial and batch items from bin locations.

Prerequisites

  • You have enabled bin locations for your warehouse.

    For more information, see Enabling Bin Locations.

  • You have specified whether you want to pick the serial and batch items according to their bin locations or serial and batch information.

    To indicate your preference for a serial or batch item, proceed as follows:

    1. From the SAP Business One Main Menu, choose   Inventory   Item Master Data  .

    2. On the General tab of the Item Master Data window, in the Manage Item by field, specify whether you want to manage the item by serials or batches.

    3. In the Issue Primarily By field, select how you pick the item for issuing, by either of the following:

      • Serial and Batch Numbers – Picks the item you want to issue by its serial or batch information.

        A serial item can exist in only one bin location. Therefore, selecting the serial number automatically selects its associated bin location.

        A batch of items can exist in various bin locations. After you specify which batch and how many items in the batch you want to issue, you must specify from which bin locations these batch items are going to be issued.

      • Bin Locations – Picks the item you want to issue by its bin locations.

        A serial item can exist in only one bin location. Therefore, selecting the bin location automatically selects its serial number.

        A batch of items can exist in various bin locations. And each bin location can contain various batches. SAP Business One makes a list of all bin locations that contain the item and presents in detail which batch and how many of the batch items are in each bin location.

      In order for you to pick items according to the two criteria, SAP Business One provides you with two different layouts in the Serial Number Selection and Batch Number Selection windows.

Procedure

  1. From the SAP Business One Main Menu, open an issue document.

  2. In the issue document, specify the serial or batch item, quantity and warehouse.

  3. Open the Serial Numbers - Setup or the Batches - Setup window.

    To do so, place the cursor in the Quantity field of the issue document and proceed accordingly:

    • Inventory transfer

      • Right-click and choose Allocate Serials/Batches from Whse.

      • From the Goto menu, choose Allocate Serials/Batches from Whse.

    • All documents with the issuing of items, excluding inventory transfer

      • Press Ctrl + Tab.

      • Right-click and choose Batch/Serial Numbers.

      • From the Goto menu, choose Batch/Serial Numbers.

  4. To select the serials or batches from bin locations, proceed in one of the following ways:

    • Serial Items – Issued Primarily by Serial Numbers

      In the Serial Number Selection window, select the serial numbers that you want to issue in the Available Serial Numbers table, and move them to the Selected Serial Numbers table.

    • Serial Items – Issued Primarily by Bin Locations

      In the Serial Number Selection window, in the Available Serial Numbers table, select the bin locations from which you want to issue the serial items, and move them to the Selected Serial Numbers table.

      To move the serial items automatically from the Available Serial Numbers table to the Selected Serial Numbers table, choose the Selection Method pushbutton and select the automatic allocation method from the opened list.

    • Batch Items – Issued Primarily by Batch Numbers

      In the Batch Number Selection window, select the batches you want to issue from the Available Batches table to the Selected Batches table. Then, in the Selected Batches table, specify from which bin locations you want to issue the selected batches using the Bin Location Allocation field.

    • Batch Items – Issued Primarily by Bin Locations

      In the Batch Numbers Selection window, select the rows with the intended bin locations and batches and enter the selected quantity in the Available Batches table. Then, move the selections to the Selected Batches table.

      To move the batch items automatically from the Available Batches table to the Selected Batches table, choose the Selection Method pushbutton and select the automatic allocation method from the opened list.

  5. In the Serial Number Selection or the Batch Number Selection window, choose OK. The window closes.

  6. To add the issue document, choose Add in the document.
