Use

In status management, you can change the status of a large number of objects that have one status in one step using a mass change. You do this in the overview (all objects that are in the current folder and all the folders below the current folder). This is possible for all folder objects apart from the folder itself.

Prerequisites

You have created at least one status profile.

You have assigned the status profile to the objects whose status you want to change.

In addition, all objects whose status you want to change using a mass status change have the same status.

Procedure

       1.      Choose Overview in the folder that contains the objects whose status you want to change or in the folder whose subfolders contain these objects.

       2.      In the Overview screen, filter the objects according to your chosen status profile (only possible if more than one status profile is used for all these objects), the status the objects you want to change are currently in, and if necessary, the object type (for example, document) if the objects that are to be changed belong to the same object type.

       3.      Choose New Selection.

The system displays all objects to which the chosen filter criteria apply under Objects Selected.

       4.      Set the indicator for the objects whose status you want to change.

       5.      Under New Status, choose the subsequent status you want your objects to have and then choose Save.

Result

All the selected objects now have the same new status.

If an automatic status action was created for the status transition in question, the system sent it for each object to the recipient of that object in the background.

If a manual status action was created for the relevant status transition, the system displays this first so that it can be adapted if necessary before it is sent for each object to the authorized recipient of that object. For more information, see Adapting a Status Action.

If other (user-defined) actions were specified for the status transition in question, the system performs these too.
