Employees must have a record in the employee database to use the POS. Employee records contain personal information on an employee as well as the following information:

  • Login information

  • Discount privileges

  • Salary information

  • POS user profile

  • Authority level

You can create an employee record in the Configurator and send it down to a single store or to all stores. You can also create or modify employee records at the store level in the Store Manager application.

Displays the Employee Maintenance screen for a new record

Displays the Employee Maintenance screen for the selected employee record

Store

Allows you to select the store where the employee can login; when you set this option to 9999, the employee can login at any store in your chain

Employee ID

A number that uniquely identifies the employee

Employee Type

A number that identifies the employee type.

You define employee types in the POS/Store Manager application by selecting Start of the navigation path File Maintenance Next navigation step ID /Codes End of the navigation path.

Employee Status

Specifies the status of the employee.

You define employee status in the POS/Store Manager application by selecting Start of the navigation path File Maintenance Next navigation step ID /Codes End of the navigation path.

Employee Personal Information

Set of fields that specifies an employee's personal information

Cashier Login Information

Set of fields that specifies a cashier's login information. The Cashier ID field can accept a maximum of 8 digits.

Salesperson ID

A number up to a maximum of 8 digits that uniquely identifies the salesperson.

Xpress Language

Allows you to select an interface language for an employee other than the default store language. The choices presented are based on installed additional languages. You can see these listed in the Xpress Languages screen.

Alternate Languages

Allows the employee to choose an alternate interface language when using the POS/Store Manager application. The available options are based on the installed additional languages.

Note Note

The system always displays customer receipts, customer display, journal, signature capture display, TLOG data, and database data in the language of the store. Any input the cashier makes to the POS also appears in the language of the store.

Allow Drawer Assignment on Multiple Registers Allows this cashier to be assigned cash drawers on multiple registers in the store at the same time (a cashier can not be assigned to multiple cash drawers on the same register). The default restricts a cashier to one cash drawer on one register in the store at the same time.

Salary Information

Set of fields that specifies an employee's salary information

Employee Profile

Provides a list of profiles. For information about setting up employee profiles, see Profile.

Employee Discount

Set of fields that specifies the available employee discount.

Price Levels are defined in the Quantity/Level Pricing section.

Force Preset prevents employee discount information from being modified at the POS during a sale.

Note Note

If you do not enter a discount amount in this parameter, and you have enabled the Allow Employee Discount option in the Register Parameters settings, the POS uses that discount as the default discount.

If you define a price level for an employee discount, you must activate the Employee Sale function at the beginning of the transaction at the POS.

Employee Positions

Displays the available employee positions. For more information about setting up employee positions, see Position.

Additional Information

Contains the following list of additional information for the employee:

  • Date of Hire

  • Hire Date

  • Last Day Worked

  • Eligible for Rehire

  • Gender

  • Home/Borrowed – Indicates whether the employee is assigned to work at a fixed store, or whether they can be borrowed by any store

  • Home Store # – Refers to the employee’s home store number; you can make borrowed employees information available at all stores by entering 9999 in this field

  • Emergency Contact

  • Emergency Phone

  • Job Code

  • Increase Reason

  • Status Reason

  • Performance Review Rating

Note Note

You can set a filter to display employees assigned to the store as well as borrowed employees. To set the filter you, access the General tab of the Backoffice Parameters settings in the Configurator and set the Show Only Employees For This Store parameter to No.
