Procedure documentationConfiguring a Bar Code for a Return Lookup

 

You can configure a bar code to trigger a lookup in a return transaction to speed up the return process.

When the bar code on the original purchase receipt is scanned in a return transaction, the POS application can automatically look up the original transaction details in the database. This eliminates the need for the cashier to manually enter the information however the lookup can still be initiated manually, if required. When the transaction information is found, the details are displayed on the POS screen and the cashier can select the item or items being returned to complete the return. If any required information is missing in the bar code, a prompt appears and the cashier can enter the information manually.

Procedure

To configure the bar code to initiate a return lookup for a return transaction you will need to complete the following:

  • Define a new bar code for a Return Lookup

  • Attach the Return Lookup Bar Code to a regular sale transaction. This ensures that the bar code is printed on each regular sale receipt.

  • Create a new Profile Prompt to capture required information for the return transaction

  • Attach the Profile Prompt to the Return Manager Code

  • Create a new Item Entry Control record to trigger the Return function when the bar code is scanned

  • Activate the Return Lookup option in the Return Configuration Screen

Creating a Bar Code for a Return Transaction Lookup
  • On the PLU Tab Page, choose Bar Code and enter information to create a new Bar Code record. See Bar Code for information on setting the Bar Code Format, Item Entry Attributes, and Print Options parameters.

Linking the Bar code to a Regular Sale Transaction
  1. On the Transaction Functions Tab Page, choose Manager/POS Functions.

  2. Scroll down the list of records and open the Regular Sale record.

  3. Choose the Print Options Tab Page and in the Trans Bar Code Field, select the bar code created for Return transactions.

  4. Save this setting.

Creating a Profile Prompt for the Return Lookup Bar Code
  1. On the Data Capture Tab Page, choose Profile Prompts and enter information to create a new Profile Prompt record.

  2. Type a description such as Rtn Info in the Keyboard Description Field.

  3. In the Print Options section, enable Print Prompt.

  4. In the Profile Prompt Behavior section, choose Display profile when a function is triggered in the Prompt Sequence List.

  5. Enable Review Profile.

  6. Go to the Prompt Lines Tab Page and using the standard Profile Prefixes, type the prefixes corresponding to the fields required for the prompt sequence in the Prompt Line field. See Profile Prompt: Line Prefix Codes for more information. This captures transaction information from the bar code that is required to initiate the search for the original transaction in the database. Follow each prefix with a short text description of the field content. This will not affect the database field.

  7. Type the minimum and maximum field lengths in the Min and Max Fields.

  8. Select the required mask type for each field from the list.

  9. Save your settings.

Attaching the Profile Prompt to the Return Manager Code
  1. On the Transactions Functions Tab Page, choose Manager/POS Functions Maintenance and open the record for Returns.

  2. Go to the Data Capture Tab Page and select Return Reasons in the Choice Type list.

  3. Select the name of the prompt you created in the previous step (Example, Rtn Info) in the Profile Prompt list.

  4. Save your settings.

Setting Parameters to Trigger the Return Lookup Sequence

To trigger the return lookup sequence when the bar code is scanned, do the following:

  1. On the Terminal Tab Page, choose Item Entry Control and enter information to create a new record.

  2. Enter the Return Manager Code (510) in the Function ID Field.

  3. In the Bar Code list, select the bar code type created at the beginning of this procedure.

  4. Save your settings.

Activating the Return Lookup Function
  1. On the Transaction Functions Tab Page, choose Returns.

  2. Open the record for Returns with Receipt and in the Default Lookup Method list select By Transaction.

  3. Save your settings.
