A collection of payment items based on a clearing agreement that has been set up with a business partner.

 

You use collectors to bundle payment items for collective posting to internal accounts (customer collector) or to generate a single outgoing payment order to send to a financial institution or clearing house (clearing collector). The outgoing payment order contains information about the individual payment items required for further processing by a format converter. The payment items are posted as one total sum.

A reservation request can be sent to an account management system to ensure that enough money is available in the account to cover the sum of the payment items to be posted. Posting of payment items in a collector can be simulated before payment items are posted. The posting is done with a corresponding clearing item that covers the total amount of payment items in the collector. Reservation and posting simulation are performed when the corresponding settings are defined in the relevant clearing agreement and in Customizing. You can also complete mandates for SEPA direct debits that have been collected, as the mandate information is not transferred to the account management system in a collective posting.

Payment Engine uses the following types of collectors:

  • Customer collector for internal payment items

    Used to collect recipient items, ordering party items, clearing items, and turnover items to post them later in a compressed form to an internal account as one total sum.

    Example Example

    Payments to a utility company

    Customers usually pay their bills on a specified date or within a period defined by the utility company. Rather than send thousands of individual payments, the items are collected and their sums are added together. A single payment order is then sent to the company in the form of a payment advice. This payment advice contains information about the individual payment items in the customer collector.

  • Clearing collector for external payment items

    Used to collect recipient items to process payment transactions with other financial institutions collectively during clearing of payment orders using bank clearing accounts.

In addition, you can also use the multi-collection function to bundle collectors that have the same account details and that have been closed according to non-time-based criteria in a common logical output file. For more information about closing criteria, see Close Collector/Queue.

You can assign similar payment items to the same collector, for example, payment items with the same value date, processing date, due date and direct debit type, or of the same payment item type. For more information, see Assign Payment Items to Collector/Queue.

Structure

Collector Screen

The collector screen is organized in the following screen areas:

  • Search area

    You can enter a text to search for clearing agreements currently loaded in the navigation tree.

  • Navigation tree

    Displays collection types, combinations of routes and clearing agreements, collection categories, and existing collectors for the selected clearing area in a hierarchical structure.

    If collection by due date and direct debit type is enabled, the due date and direct debit type are displayed for the collector sequences.

  • Business object

    Depending on the node that you select from the navigation tree, displays details about:

    • Collection type

      Displays a list of existing collectors in SAP List Viewer.

    • Combination of route and clearing agreement

      Displays the collection information defined in the clearing agreement for a combination of route and clearing agreement. For more information, see Clearing Agreement under Collector Processing (Collector Only).

    • Collection category

      Displays the characteristics that define the collector category.

    • Collector

      Displays details about the selected processing sequence created for a collector category.

Collector Details

On the collector screen, you can find the following business object information:

Header Data
  • Collection type (queue or collector)

  • Collector processing date

    Specifies the date on which the collector was used for processing.

  • Collector number

    Determined by a number range that you can define in Customizing for Payment Engine under   Clearing   Maintain Number Ranges for Collectors  .

  • Sequence

    Specifies a processing sequence within a collector.

  • Direction

    Displays whether the collector is intended for processing internal or external payments.

Basic Data
  • Status information

    Displays the status of the collector. A collector can have one of the following statuses:

    • Category

    • Open

    • Closed

    • Final Processing Started

    • Completed and Processed

    • Waiting for Asynchronous Processing

    • Final Category

    In a multi-collection scenario, also displays the type of collector processing: Post Items Collectively, Post Collected Items Individually, Several Collector Items Not Posting-Relevant.

  • Closing information

    Displays the reason for closing a collector.

    If a collector is open and is scheduled to close according to time-based criteria, this area also displays the time at which the collector status was last checked.

    If a collector is closed, this area also displays the user who closed the collector and the time at which the collector closed.

  • Check of required clearing times

  • Current attributes

    Displays the total debit amount and the total credit amount for the payment items in the collector in the collector currency. Also displays the number of payment items in the collector for a debit or a credit and the minimum number of payment items required to close the collector.

  • General attributes

    Displays the following attributes:

    • Transaction currency

    • Value date

      In the clearing agreement, you specify whether payment items with different value dates can be assigned to the same queue or collector.

    • Payment item limit (only relevant for collectors)

      Specifies the maximum number of items in a collector before final processing is initiated.

    • Multi-collection (only relevant for collectors)

    • Payment item category

    • Debit or credit transaction

      In the clearing agreement, you specify whether payment items for debit and credit can be assigned to the same queue or collector

    • Minimum amount that a queue or collector must contain before closing

    • Clearing item posted (only relevant for collectors)

    • Due date (only if collection by due date and direct debit type is enabled)

    • Direct debit type (only if collection by due date and direct debit type is enabled)

    • Planned closing date

  • Clearing account

    Displays the account details of the recipient or of a clearing account.

Associated Payment Order

This tab page displays the payment order associated with the collector, which summarizes all information about the payment items bundled in the collector.

In a multi-collection scenario, this tab page displays a list of associated payment orders and the payment order details.

Administration Data

This tab page displays the user who created or last changed the collector and the time and date when the collector was created and last changed.
