Display Evaluation ResultsLocate this document in the navigation structure

Prerequisites

You have at least entered the necessary evaluation conditions (starting date and transaction code).

Procedure

Choose Start Evaluation.

The system starts the evaluation of the table logs, change documents, or long texts using the selection conditions you entered.

Result

The system displays the results on the Audit Trail screen. The title line contains the words Audit Trail: x/y transactions evaluated.

Here, y stands for the number of transactions that can be evaluated and x for the number of transactions that were actually evaluated. If the two values are not identical, it is possible that some of the transactions were not evaluated because of missing authorizations.

The results are shown in one or two lists, depending on the selection conditions. The evaluation results for the table and long text logs are shown together in the Output of Table Logs list. The evaluation results for the change documents are shown in the Output of Change Documents list.

  • Evaluation results for the table and long text logs

    This list provides you with information that includes the following:

    • Date and Time that the change was made.

    • The Changed By column shows the user name of the person who made the change. In addition, the Full Name column, shows the complete name of the person who made the change.

      Note

      The user name and full name of the person who made the change are always shown. However, if you delete the master record of the user who made the change from the system, the Changed By column still shows the user but the Full Name field remains empty. To prevent this, you should only withdraw a user's access to the system (for example, when he or she leaves the firm) but not delete the user master record. The following measures deny a user access to the system:

      • Setting the validity period of the master record to the desired date

      • Locking the user

      • Withdrawal of all authorizations

      • Changing the password

    • Transaction with Name of Transaction

      These columns show the transaction with which the change was carried out. It can happen that the Transaction field shows a different transaction code than the one expected. If this is the case, a jump to another transaction has occurred within the transaction used. The change is then saved under the former transaction code, which is then displayed.

      Example

      You are are making a change using the transaction CR02 (Change Work Center). In the process, transaction CR02 branches to transaction CRAV.

      The changes therefore appear in the evaluation under the transaction code CRAV.

    • Changed Table with Table Name

    • Table Field with Field Label

      The name of the changed table field is shown here.

      It can happen that a different field name is shown for the change in the list of evaluation results than the one actually expected. The reasons for this might be as follows:

      The field name determined via the input help under Technical Information is the name of the dynpro field. This field name is not always the same as that of the field in the database.

      Example

      In transaction CR02 ( Change Work Center) the field has the name STEXT for the Short Text of the Work Center. Within the program code, the content of the STEXT field is assigned to the field KTEXT of the database table. In the list of results, the KTEXT field is therefore displayed for the change.

    • Old Value and New Value

      If you have selected the Evaluate Details checkbox in the selection conditions, in the evaluation for deleted and inserted data, the system not only shows that a change in data has taken place, but lists the old and new values of the data - i.e. the system shows the value before and after the change for each changed data record.

    • Data Record

      For each data record, the type of change is shown in the Data Record column:

      • Deleted

      • Inserted

      • Changed

      Some changed data records are not shown with the change type Changed, but with two data records, one with the change type Deleted and one with the change type Inserted. This is always the case if, due to a change, it becomes necessary for a key field of a table to be changed. This necessitates first the deletion of the corresponding data record and then the insertion of a new entry. This is a consequence of the basic architecture of relational database systems.

      Example

      You change object links in transaction CV02N. This causes the OBJKY field of table DRDAD to be changed. This is a key field of the table. Two change logs are generated, one with the change type Deleted and one with the change type Inserted.

  • Evaluation results for change documents

    Just as the list of table logs, in addition to the general selection conditions such as Date, Time and Changed By, this list also contains detailed information on the change document object in question as well as details on the changed values.

Display Changed Contents of Individual Table Fields

If you have deleted or inserted data in several fields of a table row, these changes only appear as a single entry in the evaluation of table logs. To list the changes in the individual table fields in detail, proceed as follows:

  1. Select one or more table logs.

  2. Choose the Data Record button.

In a further list, the system displays the changes to the individual fields of the selected table row.

Display Field Contents in Full

Sometimes, the content of a table field is too long and cannot be displayed in its entirety. In this case, the Information symbol appears at the start of the table row in question.

Double-click on a field in the relevant row. The system then displays a dialog box containing the full contents of all table fields of the selected table row.

Display Long Texts

  1. Choose a long text log.

  2. Choose the Text Old/New button.

    The text prior to the change is displayed on the left-hand side of the screen, the text after the change on the right-hand side.
