 Configuring the Search for Room ContentLocate this document in the navigation structure

Use

You can use the following iViews for searching for content in rooms (for example, for searching for documents).

iView (ID, Name, Path) Description

com.sap.netweaver.coll.CMSearch

(CM Search)

 

Choose Content Administration → Portal Content → Content provided by SAP  → Collaboration  → iViews

This iView is integrated into templates - for example, into the room part for the search for room content - by default.

Special feature: This iView can only be configured centrally in the system (only once).

com.sap.km.Search (Search)

 

Choose Content Administration → Portal Content → Content provided by SAP → Content for End Users → Standard Portal Users →com.sap.km.iViews

This iView is for searching for KM items (documents and folders). In certain circumstances, you can integrate it into room and room part templates.

Special feature: You can create this iView multiple times as a delta link or copy and configure each iView as required. One template can contain multiple search iViews with specific configurations, for example, one search iView with the default configuration, and another that displays the most recently created documents.

Prerequisites for use in rooms

  • Template: Assignment of the room_id iView parameter to the roomed room parameter (in the template)
  • iView property: Search component The search component set (for example, the set UIRoomContentSearchComponents, which is delivered by SAP) must contain the room_cm_search search component.
  • iView property: Search option The entry Folder must be selected for Default Search Scope in the search options set (for example, in the set UIRoomContentSearchOptions, which is delivered by SAP).
    Tip

    Path to search component and search option configuration: System Administration → System Configuration → Knowledge Management → Content Management → User Interface  → (Mode = Advanced) →Search → Search Component Set and Search Options Set. 

com.sap.km.basicsearch (KM basic search iView)

 

Choose Content Administration → Portal Content → Content provided by SAP → Content for End Users → Standard Portal Users →com.sap.km.iViews → URL Access

This iView is integrated into the tool area of the portal as a standard function. This search function displays all portal content to users - even documents and folders from the users' own rooms. The display of room content depends on permissions for the items in question.

Tip

You can exclude content from the scope of this search function.

Search Index

The search for room content is based on the SAP Search and Classification (TREX) search engine. You require the following search indexes to search for room content:

  • Search index for room documents and folders
  • Optional: Search index for discussion groups and posts in rooms
    Tip

    If you do not want the standard portal search function to display content from rooms, add the searchhidden custom property when creating the search index and set its value to true.

Procedure

Create a Search Index for Room Documents and Folders

  1. In the portal, choose System Administration → System Configuration → Knowledge Management → Index Administration → Create and enter the properties of the search index as follows:
    1. Enter the unique ID and name of the search index.
    2. Choose the Trex Search service.
      Note

      If you want to use taxonomies to classify the search results in addition to the search, choose Trex Search and Classification.

    3. In What to index, choose the All (documents and folders) option.
  2. To save the search index properties and continue with the configuration, choose Create Index.
  3. Choose Data Source → Add.
  4. Select the room_extensions folder. 
    Note

    If you use a different folder for storing room content in your company, select this folder instead.

  5. Confirm the folder selection and save the search index.

Optional: Create a Search Index for Discussion Groups and Posts

  1. Make the Collaboration folder, which is hidden by default, visible for indexing. (The system stores discussion data in this folder.)
    1. In the portal, choose System Administration → System Configuration → Knowledge Management → Content Management → Repository Managers → CM Repository.
    2. Select the Collaboration entry, and then choose Edit.
    3. Display the advanced options.
    4. Deactivate the Hide in Root Folder property.
    5. Confirm this change.
  2. Restart the portal.
  3. In the portal, choose System Administration → System Configuration → Knowledge Management → Index Administration → Create and enter the properties of the search index as follows:
    1. Enter the unique ID and name of the search index.
    2. Choose the Trex Search service.
    3. In What to index, choose the Documents option.
  4. To save the search index properties and continue with the configuration, choose Create Index.
  5. Choose Data Source → Add.
  6. Select the collaboration folder. 
  7. Confirm the folder selection and save the search index.
  8. To ensure that discussion groups and posts from previous releases are included in the search, execute a data consistency report.
