Use

To allow users to create rooms and add room parts to existing rooms in the portal, you make templates available for rooms and room parts. A template specifies the following data:

  • Page structure of the room or room part (modeled as a portal workset)
  • Initial content (documents in the KM repository)
  • Properties of the room or room part (room roles and page permissions, folders, input and output parameters, information displayed, and so on)

Example: Room Template and Room Part Template for a Project Room

Based on the project room template, a project lead can create a project room and invite room members with different page permissions to the room. To be able to manage the project team's appointments and discussions in the room, the project lead can add the Calendar and Discussions room parts to the room based on the room part templates.

Procedure

1. Prepare template creation.

Analyze your template requirements and plan the layout and content of the rooms required.

2. Define templates with initial content and room layout.

  1. Create the initial content that the system is to copy to rooms or room parts based on the templates.

  2. If you want to create a new template, you must make available a workset to define the room layout before creating the template.
    Note

    If you are modifying a copy of a template to suit your company's requirements, you can change the associated workset after saving the copy of the template. The system stores the copy of the workset with the name of the copied template.

  3. Define the properties for the templates required.

3. Check and release new templates.

  1. Check the new templates and make any necessary corrections.

  2. Transport the templates to the production system.

  3. Optional: Hide any standard templates that you no longer need.
