Multiple Digital Signatures in FormsLocate this document in the navigation structure

Use

A form can contain multiple signature fields to be signed in succession by different people.

When a signature is set, the form is modified. Every time the signed form is saved, a new form version is created. A signature relates to the form version in which it was set.

The possible uses of multiple signatures in forms are described below using an example scenario.

Example Scenario

  1. An employee fills out an order form and signs it in the signature field provided (signature A). He forwards the finished order to a manager for approval.

    Note

    If the form is certified, the approver may have to allow changes.

  2. The manager amends the finished order if necessary and approves it (signature B).

  3. The check confirms that both signatures are valid and that the system can execute the order.

Note

Signature A remains valid even if the manager changes the order, since the form version in which the signature was set has not changed. Signature B applies to the next form version.

Displaying a Change After the First Signature

If the approver has made a change, Adobe Reader and Adobe Acrobat show this at signature A as follows:

  • In certified forms: green checkmark

    Meaning: The changes made to the form after signature A was set comply with the change options for certification.

  • In non-certified forms: checkmark with exclamation mark

    Meaning: The form was changed after signature A was set.
