Transferring Changed Property Values to Rooms or Room PartsLocate this document in the navigation structure

Use

When creating a room or adding a room part to a room, the system uniquely assigns a copy of the workset associate with the template to the room or room part. Copies of worksets that are assigned to rooms or room parts are not accessible and therefore cannot be changed in the Portal Content Directory (PCD).

However, you can transfer changed values for the iView properties to existing rooms, if you have changed theworksets for the room templates or room part templates.

Prerequisites

For security reasons, you can limit the transfer of property values to rooms or room parts to individual areas of the company. Therefore, you must have permission to use the templates in your area of responsibility. The permissions are defined in the master data for the templates.

Procedure

1. Define standard properties and excluded properties.

  1. In the portal, choose System Administration → System Configuration → Collaboration.
  2. Display the advanced options.
  3. Choose Room and Room Part Templates.
  4. In the Related Areas, choose settings → iviewproperties.
  5. To specify the default iView properties that the system is to offer when transferring the values, proceed as follows:
    1. Choose whitelist.
    2. Add all required properties to the list.
      Note

The system excludes the transfer of changed values for iView properties that are linked to parameters, even if the property in question is entered in the whitelist.

  6. To specify the iView properties that the system is to exclude when transferring changed values, proceed as follows:
    1. Choose blacklist.
    2. Add the excluded properties to the list.
      Note

Entries in the whitelist take priority over entries in the blacklist. If an iView property is listed in the blacklist and in the whitelist, its value can be transferred.

2. Create an iView for transferring property values.

  1. Navigate to Content Administration → Portal Content → Portal Applications.
  2. Choose the com.sap.netweaver.coll.appl.ui.room portal application.
  3. In the context menu of the Propagation portal component, choose Copy.
  4. Choose the folder where to paste the Propagation portal component and then in the context menu of this folder, choose Paste as PCD Object.
  5. Proceed with the steps in the Paste as PCD Object tab page.
  6. Enter the general properties (name, ID) of the iView and choose Next.
  7. Choose Finish.
  8. Optional: In the context menu of the created iView, choose Open  → Properties..
    1. In the Properties, choose the All property category and check the entry in Default Log File Path. This property specifies the path to the place where the system stores the log files.
    2. If you want a storage path that is different to the default (/documents), specify it here.

3. Transfer the values of the properties to rooms or room parts.

  1. Call up the iView in the portal catalog as follows:
  2. Choose the tab page for transferring the property values to rooms or room parts.
  3. Limit the scope of the transfer.
    Caution

The transfer of changed property values in the templates can cause problems in the affected rooms or room parts. Therefore, it is safer to perform the transfer in several smaller steps and to check the results of each transfer.

  4. In the list of available iView properties, choose those properties for which the system is to transfer the values.
  5. Optional: To restrict the transfer of the property values to a specific room, enter the room ID.
  6. Start the transfer.
Result

The system transfers changed values for the selected iView properties to the affected rooms or room parts and issues a log.

Example

You change the height of the room member list in the room template and transfer the new value to all rooms based on the template.
