 Integration of the Menu for Sending Documents as a CopyLocate this document in the navigation structure

Use

The standard SAP delivery contains preconfigured menus for Knowledge Management resources (documents, folders, links). These menus - for example, in the context menu for KM resources - contain the Send To command. When launching this command, the system creates an e-mail that contains a link to the resource in question.

The standard Collaboration system also includes the Send To command group. This command group provides the option of sending not only links but also copies of documents by e-mail. You can implement this command group in place of the command of the same name.

Send To Command Group

The Send To command group has the following special features:

  • Documents

    For documents, the Send To command group generates a submenu (or instead of the Send To command, a group of menu items) with the following entries:

    • Send Link

      Corresponds to the default features of the Send To command. The system adds a link to the document in the e-mail to be sent.

    • Send Copy

      The system adds a copy of the document to the e-mail to be sent.

  • Folders and Links

    For folders and links, the command group generates only the menu item Send To. The system adds a link (to the folder or link) to the e-mail to be sent.

Manual Integration of the Send To Command Group

In the standard SAP delivery, the Send To command group is not part of the menus for KM resources. If you want to make available the command for sending copies of documents, you must modify the menu configuration. The corresponding procedure is described below.

Prerequisites
  • Knowledge Management and Collaboration have been installed.
  • The basic configuration for Knowledge Management and Collaboration (especially the basic configuration of e-mail connectivity) has been completed.
Procedure
  1. Choose in the portal: System Administration → System Configuration → Knowledge Management → Content Management → User Interface → Commands → UICommandGroups.
  2. Check whether the command group with the alias sendToGroupCommand exists. This command group contains the commands for sending KM resources as a link or as a copy.
  3. In the superordinate command groups - which correspond to the menus - replace the default command Send To with the extended command group. Proceed as follows:
    1. One after another, call up the superordinate command groups that contains the Send To command in edit mode.For example, this includes the following command groups:- ResourceUserRelatedActionsGroup- DetailsActionsFavoritesGroup
    2. For each of the assigned commands in the list (Command List), replace the alias of the send_to command with the alias of the sendToGroupCommand(expanded) command group.
      Note

      The addition expanded (see above for the spelling) defines the display of the command group in the menu:

      • Without addition: The menu contains a submenu for Send To.
      • With addition: The menu contains a group of commands (separated by lines).
    3. Save the changes for each command group.
    4. Check the change by calling up the Send As Copy command in the context menu for a document.
