Managing the Archiving of Collaboration RoomsLocate this document in the navigation structure

Prerequisites

  • You have the Content Admin portal role assigned to your user.

  • The basic configuration for the Collaboration functional unit has been completed.

  • Your system administrator has configured the Knowledge Management and Collaboration (KMC) archiving landscape. For more information, see Configuring the Archiving Landscape .

  • The archiving retention service is active.

  • Your system administrator has specified the archiving property service in the configuration of the rooms repository. For more information, see Displaying the Archiving Status in the Search Results .

  • Your system administrator has created a new archiving status property filter. For more information, see Displaying the Archiving Status in the Search Results .

  • If you want to use Search and Classification (TREX), the following prerequisites must be fulfilled:

    • The system administrator has carried out the configuration for TREX.

    • The search for rooms with TREX is enabled. For more information, see: Configuring the Search for Rooms .

Context

As a content administrator, you define which collaboration rooms are relevant for archiving. Using the Mark Rooms for Archiving report, you can configure the archiving criteria and mark for archiving the group of rooms that match the criteria automatically. You can also use the Room Archiving iView to filter for the required rooms and mark them for archiving manually.

In the case of an archiving scenario with decentralized governance, you also manage the archiving approval workflow. For more information, see Archiving Scenarios .

Procedure

Results

All rooms in status Marked for archiving are automatically archived after the Trigger Archiving report next runs. You can also define a custom retention period for the rooms to be archived.
