 Personnel Action

Definition

A series of infotypes that are added, changed, completely or partially deleted, or delimited for the reason specified (for example, hiring, change of cost center, and leaving).

Use

Personnel procedures, such as hiring an employee, organizational reassignment, or an employee leaving the company, are represented by separate personnel actions in Personnel Administration . Each personnel action contains the infotypes for which you have to enter data for the action in question and displays these infotypes for you to processes. This ensures that all the core data relevant for this procedure is entered.

The Hiring personnel action provides all of the infotypes that are necessary to guarantee the hitch-free administration of the employee, payroll, time management and other personnel processes.

Structure

  • The standard system includes the following personnel actions:

  • You can display all of the infotype records of an infotype group for an employee. You can display the separate infotypes using the Scroll Through an Infotype Group function.

  • If you want to enter additional employee data using the hiring action, you can change these infotype groups in Customizing. You can also change the infotype group temporarily by using the Change Infotype Group Temporarily function.

  • Employees are often in possession of objects on loan, company ID cards, or system users that must be returned when, for example, they become subject to an organizational reassignment or leave the enterprise. In such cases, it is a good idea to inform the appropriate administrator of the O rganizational Reassignment , or of the fact that an employee has left the company, so that he or she can initiate the necessary steps. In Customizing, you can set up an automatic email connection. In this case, the administrator responsible automatically receives an email via SAPoffice if an infotype record is changed.

  • The Fast Entry of Personnel Actions function is available for some actions. This function enables you to perform a personnel action for one employee.

  • When you use the Fast Entry of Personnel Actions function, the system does not display the fields for which default values are suggested automatically. The advantage of this function is that you can maintain all the required entry fields for all the infotypes belonging to a particular personnel action on one screen. Here you enter all of the essential data that applies to this particular employee and which the system cannot derive from default values. In the Fast Entry of Personnel Actions function, you don’t have to maintain all of the fields included in the infotypes assigned to the personnel action.

    In the Implementation Guide for Personnel Administration, you have the option of customizing the Fast Entry of Personnel Actions function to suit your company-specific requirements. You can set up your own fast entry screens for all the personnel action types you require by determining the content and layout of the screens.

  • Changes to an infotype or to the fields of an infotype can have an effect on the data of other infotypes. After you have changed a field, for example, it may be necessary to modify data in other infotypes accordingly. You can automate this process using dynamic actions .

You define the order for the infotypes that are to be processed using a personnel action in Customizing for the Human Resource Management System.
